POSITION SUMMARY:
Administrative Assistant is responsible for providing administrative support to ensure efficient operation of the office. This position will organize files, create correspondence, prepare reports and documents, manage calendars to schedule appointments, sort mail, prepare invoices and offer general staff support. Administrative Assistant may serve as an initial point of contact, answering phones and greeting visitors as well as, make travel arrangements and engage in event planning and meeting setup. This role will interact with a variety of people, from clients to employees and senior management.
POSITION RESPONSIBILITIES:
Essential functions of the job will include, but not limited to, the following:
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Handle multiple projects
- Maintain contact lists
- Assist in the preparation of regularly scheduled reports
- Generate reports & submit and reconcile reports
- Provide general support to internal team members
- Provide information by answering questions and requests
- Maintain computer and manual filing systems
- Handle sensitive information in a confidential manner
- Coordinate office procedures
- Reply to email, telephone or face to face enquiries
- Provide feedback and impute and update administrative systems to make them more efficient
- Resolve administrative problems
- Photocopy and print out documents on behalf of other colleagues
EDUCATION & EXPERIENCE:
- High school diploma or equivalent; college degree preferred
- Prior administrative experience.
- Excellent computer skills, especially typing and MS Office.
- Telephone skills.
- Desire to be proactive and create a positive experience for others.
