Ritter Center is currently recruiting an Administrative Assistant for our Whole Person Care Team. This full-time, non-exempt position reports to the Program Manager, Whole Person Care, based in San Rafael, CA, and operates out of our Administrative Office.

The Administrative Assistant occupies a unique and vital position within the organization, assisting the Program Manager of Whole Person Care by performing analytical and administrative tasks related to the smooth operation of Ritter Center’s Whole Person Care Contracts, Programs, and Services. The primary responsibility of this position is to ensure the effectiveness of day-to-day operations related to Ritter’s housing and social service programs, and to contribute to the development and implementation of policies and practices that maintain and improve the agency’s administrative functions. This position is 100% office-based.
Essential Job Functions and Responsibilities:
- Participate in daily team triage for client status and scheduling verification
- Update and manage Monday.com client board daily to coordinate client scheduling
- Use electronic health record system (eCW) and other databases (Clarity, Partnership's E-reports, HMIS) to track assigned QI and client status measures.
- Support team collection and uploads of Enhanced Care Management (ECM) client data
- Update forms and manage WPC/client files in SharePoint weekly
- Manage Triplog app and verify staff monthly mileage reports
- Manage Park Mobile app and verify monthly parking receipts
- Collect/audit client status and demographics data for monthly reporting
- Manage and increase the effectiveness and efficiency of the WPC Program’s administrative systems, processes, and policies.
- Participate in Administrative team meetings to develop admin process improvements.
- Create presentations and reports to present and share data for the WPC tea.m
- Assist staff with team and patient communications/interactions
- Provide administrative assistance to Program Manager as requested
- Meet with Supervisor, attend staff meetings and trainings as scheduled and assigned.
- Adhere to the goals, objectives, and personnel policies of Ritter Center
- Perform other duties as assigned
Required Qualifications:
- Per OSHA requirements employment at Ritter Center requires compliance with being able to produce a negative TB test prior to the start of employment, as well as being vaccinated against COVID-19 (unless applying for an exemption) per the August 5th 2021, State Public Order for Healthcare Facilities, providers and employees.
- Must use a high level of confidentiality while handling patients' sensitive information, abiding by and upholding HIPAA standards
- Must have strong critical-thinking, analytical, and problem-solving abilities
Preferred Qualifications:

- Excellent computer skills and proficient in Microsoft Excel, Word, PowerPoint, and Outlook
- Excellent organizational and calendar management skills
- Ability to understand and communicate basic data and statistics through graphs
- Excellent communication skills, both verbal and written
- Excellent interpersonal skills and a collaborative work style, “no task too big or too small” attitude is a must
- Comfortable with responding to urgent and changing needs as issues arise
- Willingness to work with little supervision on creative tasks that require resourcefulness
- A demonstrated commitment to high professional, ethical standards in a diverse workplace
- Ability to excel at operating in a fast-paced, community environment with frequent interruptions
- Ability to look at situations from several points of view
- Ability to multitask and maintain accurate records and logs
- An Associate Degree from an accredited college or four years of related experience
- Knowledge of: Monday.com, Electronic Health Record System (eCW), Clarity, Partnership’s E-Reports, HMIS
