ESSENTIAL DUTIES AND RESPONSIBILITIES
Primary duties and responsibilities include, but are not limited to, the following:
- Ensure the production processes from beginning to end (job request to final delivery), is efficiently executed with positive results.
- Evaluate job requests for completeness, and follow-up with requestor to fill in details as needed including:
o Knowledge of all standard advertising and marketing deliverables
o Understanding of key business operations across operations in order to align more effective advertising tactics to business needs
o Ability to determine viability of meeting request goals and timelines
o Ability to professionally communicate with department management
- Initiate projects within project management tool including:
o Draft detailed project briefs
o Assign tasks to available resources (based on current workloads and skills)
o Determining timelines based on priority, internal and vendor resources
- Manage and maintain positive relationships with internal clients including:
o Regular communication of project status
o Delivery of requested materials on time
- Manage and maintain positive relationship with external vendors including:
o Understanding vendor capabilities and required timelines
o Nurture relation to maximize value for business (“calling in favors” best possible pricing)
- Coordinate with department directors, brand managers and/or senior staff to establish deadlines, objectives, etc.
- Manage maintenance of up-to date and accurate content throughout the property (e.g., signage) and on digital channels (e.g., website).
- Act as main point of contact for production talent for project-related.
- Ensure the most effective use of existing and future project and resource management solutions and procedures in the studio.
- Manage direct reports: Advertising and Marketing Coordinator, Advertising and Marketing Content Specialist.
- Manage the payment cycle from initial vendor estimate/quote, through to successful settlement of invoices including:
o Evaluate estimates/quote for best pricing and completeness
o Process Purchase Request and Orders
o Track approval and payment processes to ensure desired timelines are maintained
o Maintain accurate list of estimates, PRs, invoices, POs, Receivers, and Payments, including tracking accruals on a monthly and year-to-date basis
- Manage large-format print production facility including training and scheduling regular maintenance.
- Manage digital signage system including:
o Ability to create, configure and implement content management folders, playlists, schedules and display layouts
o Configure, manage and diagnose content player hardware, operating system and sign system software
- Any other duties as assigned within the scope of this position.
KNOWLEDGE/SKILLS/ABILITIES
- Strong understanding of advertising and marketing deliverables (print, digital, signage, etc.).
- Proficiency in project management tools (e.g., Asana, Trello, Wrike, Monday.com).
- Experience drafting project briefs, assigning tasks, and managing timelines.
- Manage multiple projects simultaneously under tight deadlines.
- Excellent written and verbal communication skills.
- Collaborate with internal stakeholders, including department heads and brand managers.
- Professional demeanor with the ability to manage up and down the organizational structure.
- Familiarity with digital signage systems and content management platforms.
- Ability to troubleshoot and manage digital content player hardware and software.
- Experience with large-format print production and equipment maintenance.
- Proficiency in Microsoft Office Suite and Adobe Creative Cloud.
- Experience managing budgets, purchase orders and invoice tracking preferred.
- Ability to evaluate vendor quotes and ensure cost-effective solutions.
- Strong organizational skills for maintaining accurate records and tracking accruals.
- Experience managing direct reports and fostering team development preferred.
- Ability to align marketing production with broader business goals.
- Strategic thinker with a focus on process improvement and operational efficiency.
- Ability of complex reading, writing, math, and task completion skills is required.
- Must have the following skills: clerical, compiling, coordination, analyzing, supervising, instructing, following instructions, influencing others, memorization, problem solving, independent judgment, and decision making.
- Flexible to work all shifts including holidays, nights, and weekend hours as business needs dictate.
- Must be a minimum of 21 years of age.
EDUCATION and/or EXPERIENCE
- Bachelor’s degree in Business, Marketing, Advertising, or Communications is preferred.
- Minimum of 5 years’ Marketing/Advertising production experience is required preferably in a managerial role or any combination of education, training, or experience that provides the required knowledge, skills, and abilities.
- Experience managing cross-functional teams and external vendors preferred.
PHYSICAL DEMANDS
- While performing the duties of this job, the team member is constantly sitting and occasionally standing, walking, reaching overhead, bending over, crouching, and kneeling during the duration of their shift.
- Must be able to push/pull 50lbs or less occasionally.
- The team member will constantly have repetitive use of both hands, frequent light grasping motions, and occasional firm/strong grasping motions. Finger dexterity of both hands will be constantly required.
- Constant use of vision abilities is required including distance, depth perception, field of vision, and color vision.

WORK ENVIRONMENT
- Work performed indoors and outdoors, alone and frequently with and around others. Team Member will perform work face-to-face including verbal contact with others on extended shifts around computer equipment.
- The noise level in the work environment is usually quiet to moderate.
- Team Member may be exposed to moving objects, solvents/oils, and/or secondhand smoke.
