Your Role: A Day in the Life
You are the first face families see and the go-to person for teachers and directors. Your role is dynamic and essential — you’ll wear many hats and keep our school running smoothly with heart, humor, and hustle.
Assistant Director Support
- Act as the Director’s right hand and a trusted team lead
- Help develop and share operational forms and communications
- Take initiative to improve systems and share ideas that boost efficiency and morale
- Be a problem-solver and enthusiastic contributor to school culture
School Culture & Operations Support
- Greet families warmly and promote a welcoming environment
- Conduct daily walkthroughs to ensure health and safety standards
- Ensure compliance with licensing regulations and organize all staff/student paperwork
- Maintain rosters, calendars, schedules, and essential records
- Coordinate and communicate with vendors (cleaning crew, pest control, maintenance, etc.)
Office Management
- Process tuition payments and manage incoming checks
- Organize and maintain all physical and digital files (staff, students, vendors)
- Track and update important expiration dates (certifications, background checks, etc.)
- Submit payroll and coordinate with bookkeeper
- Maintain classroom supply lists and place supply/snack orders
Communications & Community Building
- Answer phone calls and emails promptly with warmth and professionalism
- Communicate with parents about daily needs, emergencies, and reminders
- Help run our social media accounts with engaging, mission-aligned content
- Organize and celebrate staff birthdays, holidays, and professional milestones
- Support teacher-family conferences and parent events
Scheduling & Support
- Schedule prospective family tours and assist with enrollment
- Plan and log monthly safety/fire drills
- Fill in as needed in classrooms or support staff
- Assist with creative projects like translating books, creating vocab guides, or planning monthly themes
