The Bilingual Operations Specialist will provide comprehensive support across administration, bookkeeping, project coordination, and operations. The ideal candidate will be fluent in English and Spanish, skilled in QuickBooks Online, highly organized, and able to work with a moderate level of independence.
Key Responsibilities
Administrative & Communication
- Speak with banks, insurance providers, vendors, subcontractors, etc by phone and email.
- Review and interpret documents for compliance purposes (training on specific content provided).
- Draft letters, prepare reports, and summarize findings from document review.
- Coordinate with our domestic and international offices
Bookkeeping & Financial Management
- Manage accounts receivable and payable.
- Set up and track multiple projects in QuickBooks Online.
- Generate invoices, estimates, purchase orders, and track progressive billing.
- Manage payroll, run financial reports, complete monthly reconciliations, and assist with year-end close.
- Coordinate with the accountant for tax filings, collect tax forms, and prepare quarterly/yearly business reports.
Operations Support
- Assist with meeting agendas, minutes, and follow-up actions.
- Track KPIs, and impact metrics
- Maintain and publish quarterly company goals in SharePoint.
- Maintain updated company policies in SharePoint.
- Assist with event planning related to company goals and milestones.
Required Skills & Qualifications
- Bilingual – Fluent in English and Spanish (spoken, written, read).
- Strong communication skills, professional phone presence, and attention to detail.
- Proven bookkeeping skills with QuickBooks Online.
- Proficiency in Microsoft O365 (Excel, Word, PowerPoint, SharePoint, etc).
- Ability to manage multiple priorities and deadlines with moderate supervision.
- Highly organized with strong problem-solving skills.
Preferred Qualifications
- Experience supporting a small business or working in a multi-role capacity.
- Familiarity with project tracking and reporting tools.

Pay: $47,013.21 - $56,618.05 per year
