Description:

Pickering & Company, Inc. is searching for a new Community Manager to join our team! Community Manager will oversee all daily operations of the Community and supervise onsite employees and vendors.

Requirements:

Job Functions

  • Preserve the physical asset through daily, monthly, and quarterly inspections followed by resolution of items that fall below standards
  • Create memorable experiences for the residents and team members of the community
  • Take ownership of the financial performance of the community ensuring the community is meeting expectations
  • Oversee and contribute to the sales process as well as lease administration processes in a thorough, timely, and accurate manner
  • Contribute to achieving occupancy expectations through leasing and renewals
  • Demonstrate daily care for the physical asset by ensuring grounds, amenities, and offices are clean, free of debris, and immaculately maintained with a focus on a warm and inviting atmosphere and appealing curb appeal
  • Ensure that the community is properly staffed including weekend hours and on-call employees

Financial

  • Demonstrate ability to understand financial goals, operate asset in owners’ best interest in accordance with Policies & Procedures set forward.
  • Maintain accurate records of all community transactions
  • Ensure that all payments and charges are collected, posted and deposited timely.
  • Collections including current and previous residents that reflect an account balance in order to reduce delinquency and bad debt. Generate legal action per the lease agreement and according to local and state laws.
  • Provide constant vendor/contractor communications concerning scheduling, billing, vendor relations and certificate of insurance
  • Ensure that invoices including Security Deposits are submitted to Team Accountant for payment
  • Ensure that invoices submitted are accurate and the scope of work has been completed or materials/supplies have been received.
  • Have knowledge of all expenses for the community and implementing plans to reach financial goals
  • Prepare annual budgets and submit for approval when due
  • Weekly, Monthly and Annual reporting including WSR, MOR, Variance Reports must be completed accurately and turned in on time
  • Timely complete and submit security deposit disposition statements and ensure that all damages and unpaid charges are posted and applied and maintain accurate records of damages with pictures and invoices
  • Understand the economic occupancy of the community and set goals for improvement
  • Work to maintain and improve the community’s expense to income ratio
  • Implement ways in which expenses can be reduced
  • Monitor all spending and correct unnecessary expenses

Leasing

  • Maintain occupancy goals and create plans and strategies to reach those goals
  • Renewal notices should be sent out monthly and should be up to date at all times
  • Strategize renewal programs and suggest offers that will positively impact the current economic occupancy
  • Utilize marketing strategies to secure prospective residents.
  • Current knowledge of competitor’s pricing, specials, fees and all applicable information in order to ensure we are staying competitive.
  • Continually monitor and analyze guest cards, traffic logs, renewal and resident retention including the reasons why residents may not renew, marketing data, closing ratios and advertising conversion rates.
  • Represent Pickering & Company as well as the Community brand in a professional manner at all times.
  • Review and approve, deny or assess conditional approvals for all rental applications

Administrative

  • Prepare and/or implement procedures and systems within company guidelines to ensure orderly, efficient workflow.
  • Supervise tasks in which are delegated to other team members
  • Confirm all leases and corresponding paperwork are completed accurately and thoroughly
  • Ensure resident files are properly maintained and secure.
  • Ensure all administrative paperwork is accurate, complete and submitted on a timely basis.
  • Lead and supervise assigned maintenance staff ensuring that repairs and turns are completed in a timely and satisfactory manner
  • Perform duties associated with supervisory positions, such as interviewing, training, evaluating and disciplinary counseling of all on-site employees, under the direction of the District Manager or upper management.
  • Punctual attendance is an imperative job function in order to maintain a successful community
  • Employees must fulfill the performance standards of this position and comply with the policies, rules and procedures of, including those set out in in the Employee Handbook., Policy and Procedure Manual or otherwise communicated (verbally or written)
  • Ensure that staff payroll is submitted and is submitted accurately including the submission of applicable bonuses referenced in the bonus agreement
  • Knowledge of Fair Housing regulations and ensure that Fair Housing signage is properly displayed and that all staff is aware and trained on fair housing guidelines.
  • Have the ability to communicate efficiently, respectfully and professionally with residents, prospective residents, and team.
  • Proficient in computer programs, including Microsoft Office, AppFolio, Paylocity,l Microsoft Teams, Social Media platforms
  • Organizational aptitude to keep detailed records and a clean filing system and work area.
  • Implement preventative maintenance measures
  • Conduct inspections of the exterior of the property no less than monthly and interior of all units no less than quarterly
  • Ensure that all areas of the office are locked and alarms are activated when closed. Be sure that maintenance areas are also locked and alarms are activated when closed.
  • Ensure that keys are returned and secured in a key box and that all keys are accounted for. Keys must NOT be labeled with the address and a key log/code list should be available where all applicable employees are able to access

Resident Relations

  • Address all resident concerns and requests in a timely manner to ensure resident satisfaction with management
  • Develop and/or implement resident retention programs (i.e., resident functions, special promotions, resident portal, social media engagement, etc.).
  • Ensure distribution of all company or community issued notices (i.e., weather, ice, emergencies, holiday closures, etc.).
  • Enforce the terms of the lease agreement
  • Create a plan and discuss ways to address community concerns and community engagement
  • Work to retain residents by creating a reputable and positive rapport with all residents

All positions may require the physical ability to climb stairs, reach overhead, lift over 25 pounds.
