We are seeking a highly organized and versatile Executive Assistant to support the owner of a outdoor living material distributor organize sales and scheduling. This role offers a unique opportunity to be an integral part of a thriving business. The skills that you will learn as the owner's assistant will be negotionation, financial managment, marketing techniques, importing, networking, and many other skills.
Job Description
- Sales Support: Manage the owner's sales orders, process them, and provide exceptional client support.
- Scheduling: Organize and maintain the owner's calendar, set appointments, and plan meetings.
- Client Relations: Ensure timely communication and follow-up with clients to nurture relationships.
- Financial Management: Assist with personal bill payments, expense tracking, and financial organization.
- Presentation Preparation: Create professional presentations and documents as needed.
- Meeting Support: Attend meetings, take detailed notes, and assist in action item follow-ups.
- Home Management: Coordinate household maintenance, liaise with service providers (handyman, pest control, etc.), and ensure the smooth running of personal properties.
- Appointment Coordination: Schedule personal appointments and manage the owner's personal calendar.
- Travel Planning: Assist with travel arrangements and itineraries.
- Task Prioritization: Help the owner prioritize tasks and manage time efficiently.
- Confidentiality: Handle sensitive information and maintain a high level of confidentiality.
- Document Preparation: Draft, edit, and proofread documents, presentations, and correspondence as needed.
- Personal Errands: Assist with personal tasks, such as gift buying, and managing appointments, to help the executive maintain a work-life balance.
- Photo Organization: Organize digital photos into albums, ensuring easy retrieval and a clutter-free gallery.
- File Organization: Create and maintain a structured digital filing system, ensuring all documents are appropriately categorized and easily accessible. Organize files on the drive for seamless retrieval.
Qualifications:
- Excellent communication and interpersonal skills.
- Ability to adapt to changing priorities and handle multiple tasks simultaneously.
- Resoucefulness and problem-solving skills.
- Availability to assist with occasional out-of-office hours tasks.
- Proven experience as a Personal Assistant or Executive Assistant.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in office software and tools.
- Ability to adapt to changing priorities and handle a wide range of tasks.
- Discretion and trustworthiness when dealing with confidential information.
- Knowledge of property management or willingness to learn is a plus.
- Proficient in both Spanish and English communication.
