We are seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily operations by managing various administrative tasks. This position requires strong time management skills, proficiency in office software, and the ability to provide excellent customer support. The Administrative Assistant will be responsible for ensuring smooth office operations while maintaining a welcoming environment for clients and visitors.
Duties
- Support the HR team with administrative tasks and coordination
- Maintain and update employee records and HRIS systems
- Assist with recruitment efforts: posting jobs, scheduling interviews, and communicating with candidates
- Prepare and organize onboarding documentation and orientation materials for new hires
- Utilize QuickBooks for basic accounting tasks, including invoicing and expense tracking.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Provide clerical support by preparing reports, memos, and correspondence as needed.
- Support customer service efforts by addressing client concerns and providing timely resolutions.
- Collaborate with team members to streamline office processes and improve efficiency.
Qualifications
- Proven experience as an Administrative Assistant or in a similar role is preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent time management abilities to prioritize workload effectively.
- Exceptional communication skills, both verbal and written.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Familiarity with office equipment such as printers, copiers, and fax machines is a plus.
- A proactive approach to problem-solving with strong attention to detail.
