Marine Crewing Planner
Location: Kuala Lumpur
We are seeking a Marine Crewing Planner to join our dynamic team. This role is crucial in ensuring the smooth operation of our fleet through effective planning, coordination, and management of crew matters. You will be the key point of contact between the company, seafarers, manning agents, and other stakeholders to make sure our vessels are always properly manned and compliant with all requirements.
Key Responsibilities:
Crew Management & Planning
- Manage all crewing matters for vessels assigned, ensuring proper manning levels are maintained at all times.
- Plan crew changes well in advance, checking crew availability, certification validity, and compliance with training requirements.
- Liaise with manning agents, crewing agencies, and port agents to ensure smooth crew change operations.
- Communicate directly with masters, vessel managers, and seafarers regarding crew plans and scheduling.
- Recruit crew to fill shortages and vacancies, ensuring all sign-on/off formalities are completed accurately.
- Conduct initial screening of applicants and arrange interviews for officers and ratings.
Documentation & Compliance
- Prepare employment contracts for seafarers.
- Check the authenticity of documents with relevant maritime organizations.
- Ensure all personnel files and crew certification records are updated and uploaded into the crewing system.
- Assist in reviewing and improving internal office procedures related to crewing and operations.
Travel & Logistics Coordination
- Coordinate and book travel arrangements including flights, visas, permits, transport, and accommodation for crew movements.
- Arrange cost-effective and timely travel options while considering crew welfare.
- Liaise with agents and authorities to manage visa requirements, port formalities, and immigration processes.
- Monitor and process crew expenses, allowances, and claims.
Administration & Reporting
- Maintain accurate crew records, leave balances, and movement schedules.
- Prepare regular reports on crew planning, status, and upcoming changes.
- Perform other administrative duties as required by the Crewing Manager.
Requirements:
- Minimum Diploma or Bachelor’s Degree in Maritime Management, Business/Management, Human Resources, or related discipline.
- Minimum 1 year of experience in crewing management or maritime operations (preferred, but fresh graduates are also encouraged to apply).
- Good written and oral communication skills in English; Mandarin is an added advantage.
- Familiarity with PLKS application is an advantage.
- Proficiency in MS Office applications and good computer literacy.
- Strong organizational and time-management skills, with attention to detail.
- Highly motivated, reliable, and able to work independently with minimal supervision.
- A good team player with a positive attitude and strong sense of responsibility.
- Willing to travel as and when required.

Pay: $2,000.00 - $3,500.00 per month
