Position Summary
The Medical Records Specialist is responsible for managing and maintaining patient medical records for the home health agency. This includes ensuring all physician orders, plans of care, and other required documentation are sent promptly to physicians and returned signed within regulatory timelines. The Medical Records Specialist will also hand-deliver and pick up medical records from physician offices 1–2 times per week to ensure timely processing.
Key Responsibilities
- Prepare and send physician orders, plans of care, and other required documentation for signature.
- Track outstanding orders and follow up to ensure signed documents are returned within regulatory deadlines.
- Hand-deliver and pick up medical records and orders from physician offices on a routine schedule (1–2 times per week) as needed.
- Maintain accurate logs of sent and received orders, including dates of transmission and receipt.
- Ensure compliance with federal, state, and agency documentation requirements.
- Organize and maintain patient charts in an accurate, secure, and up-to-date manner.
- Work closely with clinical and administrative staff to support timely patient care and compliance.
- Assist with audits and surveys by preparing and providing requested medical records.
- Protect patient confidentiality and comply with HIPAA regulations at all times.
Qualifications
- High school diploma or equivalent required; some college or medical office coursework preferred.
- Previous experience in home health, healthcare administration, or medical records strongly preferred.
- Knowledge of medical terminology and healthcare documentation requirements.
- Strong organizational skills with attention to detail and accuracy.
- Ability to manage deadlines and track multiple outstanding records simultaneously.
- Valid driver’s license and reliable transportation required for travel to physician offices.
- Excellent communication and interpersonal skills.
- Proficiency with Microsoft Office and EMR systems preferred.
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
Expected hours: 40 per week
