We are seeking a dedicated and organized individual to join our team as an Office Assistant, primarily responsible for answering phones and scheduling appointments. This position plays a crucial role in providing efficient and friendly customer service, ensuring seamless communication between our clients and the office. Key Responsibilities:
Phone Management: Answer incoming calls promptly and professionally.
Provide information and assistance to callers or direct them to the appropriate individual.
Take detailed messages and relay them to the appropriate team members.
Appointment Scheduling: Coordinate and schedule appointments for clients.
Ensure efficient time allocation and minimize scheduling conflicts.
Customer Service: Deliver exceptional customer service in a friendly and courteous manner.
Address client inquiries and concerns, providing accurate information and solutions. Checking guests in and collecting proper forms.
Data Entry: Maintain accurate records of appointments and client information.
Update and manage appointment schedules and databases.
Administrative Support: Assist with general administrative tasks as needed, such as filing, photocopying, and organizing office supplies.
Office Cleaning: Perform daily cleaning tasks, including dusting, vacuuming, sweeping, mopping, and sanitizing. Clean and disinfect common areas. Empty and dispose of trash regularly.
Organization: Maintain a clean and clutter-free office environment. Organize office supplies, equipment, and materials. Ensure proper storage and labeling of documents and files.
