Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office environment. Duties
- Manage day-to-day office operations, ensuring all tasks are completed efficiently and effectively.
- Serve as the primary point of contact for incoming calls, utilizing excellent phone etiquette and managing phone systems.
- Coordinate schedules, appointments, and meetings for staff members, acting as a personal assistant when necessary.
- Maintain office supplies inventory and place orders as needed to ensure uninterrupted operations.
- Provide exceptional customer service to clients and visitors, addressing inquiries and resolving issues promptly.
- Assist with administrative tasks such as proofreading documents, preparing reports, and maintaining records.
- Support medical receptionist duties when required, including patient scheduling and managing confidential information.
- Utilize Google Suite for document creation, data management, and communication with team members.
Skills
- Proficiency in phone systems and strong phone etiquette skills.
- Familiarity with Google Suite applications (Docs, Sheets, Calendar).
- Bilingual abilities are a plus for enhancing communication with diverse clientele.
- Strong customer service orientation with a focus on client satisfaction.
- Excellent time management skills to prioritize tasks effectively in a fast-paced environment.
- Experience as a medical receptionist is advantageous but not mandatory.
- Attention to detail for proofreading documents and ensuring accuracy in all communications.
- Ability to work collaboratively within a team while also demonstrating independence in task completion.
