We are looking for a detail-oriented, organized, and proactive Office Manager to help oversee the daily operations of our clinic. This is a key position within our team, where customer service and administrative skills meet medical expertise.
Job Description:
The Office Manager will be responsible for overseeing the front desk, managing patient flow, and ensuring smooth and efficient operations of the clinic. This individual will be a key point of contact for both patients and staff and will help facilitate a welcoming and professional atmosphere. We are looking for someone with a strong background in medical terminology, anatomy, and physiology, as well as customer service and front desk management.
Responsibilities:
- Manage front desk operations, including answering phones, scheduling appointments, and checking in patients.
- Creating weekly staff schedule for physical therapy aides
- Ensure smooth patient flow throughout the clinic by coordinating with physical therapists and other staff members.
- Maintain accurate patient records and handle patient intake forms.
- Utilize medical terminology and anatomy/physiology knowledge to assist with patient inquiries and appointment scheduling.
- Assist with insurance verification and billing procedures, ensuring that claims are processed accurately and in a timely manner.
- Provide exceptional customer service to patients, addressing concerns, answering questions, and ensuring a positive patient experience.
- Oversee inventory management, ensuring the clinic is stocked with necessary medical supplies and office materials.
- Handle office-related administrative tasks including filing, correspondence, and maintaining office procedures.
- Ensure compliance with health care regulations and clinic policies.
- Manage patient accounts and handle billing inquiries.
Qualifications:
- Medical Terminology Knowledge: A solid understanding of medical terminology, anatomy, and physiology to effectively communicate with patients and healthcare professionals.
- Customer Service Experience: Previous experience in a customer-facing role with a strong emphasis on providing excellent service and problem-solving skills.
- Front Desk/Administrative Experience: Previous experience in a medical office or outpatient clinic environment is highly preferred, with familiarity in handling administrative tasks such as scheduling, patient intake, and insurance verification.
- Strong interpersonal and communication skills.
- Detail-oriented with excellent organizational skills.
- Proficiency in Microsoft Office/ Google Drive and experience with medical office software is a plus.
- Ability to multi-task in a fast-paced environment while maintaining a high level of accuracy and professionalism.
- Knowledge of insurance verification, billing, and coding is a plus.
- Strong leadership abilities and a proactive approach to clinic operations.
Preferred Qualifications:
- Associates degree or certification in healthcare administration or related field.
- Experience in a physical therapy clinic setting.
- Bilingual abilities are a plus.

Pay: $23.00 - $26.00 per hour
