What You’ll Own (Performance-Based Objectives)
In the First 30–60 Days
- Take full ownership of the daily and two-week schedule in Open Dental, ensuring all providers are aligned with production targets and scheduling rules
- Lead daily huddles and weekly team meetings using prepared agendas aligned with operational priorities
- Build trust with each team member and understand their DISC profiles to strengthen communication and accountability
- Implement systems to monitor and reinforce patient confirmations, provider productivity, and block scheduling utilization
By 90 Days
- Ensure all providers are booked to target production goals two weeks out, with corrective action plans when needed
- Collaborate with the administrative team and Treatment Coordinators to optimize patient scheduling, treatment follow-up, and reactivation workflows
- Supervise the patient experience from check-in to checkout, maintaining time efficiency and service excellence
- Monitor KPIs related to patient flow, schedule efficiency, and satisfaction
- Actively contribute to weekly leadership meetings with insights on team performance, bottlenecks, and scheduling trends
Ongoing Impact
- Maintain a high-performance team culture with low turnover, strong accountability, and a commitment to training and growth
- Ensure every patient interaction reflects a premium service experience—kind, efficient, and memorable
- Maintain compliance with internal and external regulations (HIPAA, OSHA, Financial Policies, etc.)
- Lead recruiting and onboarding of new hires, in collaboration with the Director of Operations and clinical leadership
- Partner with the Director of Operations and billing team to monitor and manage key revenue cycle metrics, including: Accounts receivable aging, Daily collections, Patient co-payments at time of service, Patient statements and follow-up protocols
- Oversee execution of the Financial Policy, ensuring accurate ledgers, timely payments, and effective use of third-party financing
- Track and coach team performance on case acceptance metrics; support Treatment Coordinators with patient follow-up and reactivation
- Conduct regular reviews of unscheduled treatment reports; use tools such as Open Dental, Weave, Dental Intelligence, and internal trackers to ensure case acceptance goals are met
- Audit workflows to confirm documentation, presentation, and financial arrangements align with practice standards and patient expectations
- Share trends, wins, and opportunities for improvement in weekly leadership meetings
Who You Are
You’re a systems thinker with a service-first mindset. You know that behind every high-performing team is a steady, confident leader who holds the standard and leads with care.
Preferred Background
- 2+ years of leadership experience in a healthcare, hospitality, or professional services environment
- 3–5 years of dental office experience preferred (but not required)
- Associate or Bachelor's degree in business management or a related field
- Proficient with scheduling software (Open Dental is a plus)
- Known for your emotional intelligence, clear communication, and strong follow-through
- Confident in coaching, holding accountability, and navigating team dynamics
- Tech-savvy with experience reading and interpreting operational reports
- Bonus: Familiar with dental workflows, treatment planning, insurance coordination, third-party financing, and revenue cycle management—including collections and A/R processes
