Job Description:
Schedule: 8:00 am – 5:00 pm, Monday – Friday; flexibility available to promote work-life balance.
Hiring Rate: $56,788 annually, salary is negotiable commensurate with experience.
Job Duties:
- Plans, organizes, and manages the work activities of staff to facilitate the attainment of Commission’s goals and to ensure the consistent application of administrative policies, procedures, and standards.
- Facilitates the purchase of a variety of office equipment, furniture, supplies and materials as needed. Prepares purchase requisitions and purchase orders in JD Edwards (Enterprise 1).
- Serves as primary backup for the agency’s deposit in JD Edwards (Enterprise 1).
- Assists with office moves, acquiring new and disposing of old office furnishings, and upkeep as need or requested. Also, assists with onsite storage maintenance and upkeep. Works with vendors to direct completion of requests and maintenance needs.
- Acts as liaison for internal staff and external agencies regarding logistics, administrative support, building management and building security.
- Coordinates and oversees the optimal utilization of office space and building resources.
- Coordinates out of state travel and meeting arrangements and internal events, trainings, and workshops.
- Manages scheduling and maintains and synchronizes an agency-wide calendar.
- Confers with staff and supervisors to exchange information on and/or explain work policies, procedures, and guidelines and to identify the characteristics, and formulate possible solutions to work-related problems.
- Trains staff in the principles, practices, policies, and/or procedures of the agency to maintain and/or improve efficiencies in administrative procedures and processes.
- Studies/analyzes existing systems and recommends changes in policies, procedures, and standards.
- Drafts agency correspondence as required.
- Other duties as assigned.
Requirements / Qualifications:
Minimum Qualifications: Associate’s degree in business administration, office management, or related field. Three (3) years of successful experience working with executive level staff; providing executive administrative and logistical support including planning, organizing, and implementing business activities; outstanding organizational and administrative skills. Previous experience as an office administrator, operations manager, or executive assistant. Experience may substitute for education on a year-for-year basis. Advance level computer skills with Microsoft Suite (excel, word, access, and outlook).
Preferred Qualifications: Bachelor’s degree in office management or related field, education may be substituted for experience on a year-for-year basis. Four (4) years of experience in planning, organizing, and implementing administrative or business functions. Experience in an office-related setting, program management, and/or procurement, executive support and managing office administrative functions. Experience performing accounting functions, including the state’s Enterprise 1 system (JD Edwards). Previous work experience in Nebraska state government, with elected officials and executive management.
Knowledge, Skills and Abilities:
Knowledge of: office management and record keeping methods and practices; administrative report preparation practices; the methods, procedures, and equipment of office operations and administrative functions; the procedures of accounting, reporting, and record keeping.
Skill in: Microsoft Suite and other computer software and equipment.
Ability to: Must be highly organized, able to multi-task, and prioritize work in a fast-paced, changing environment. Must be able to interact and communicate (in person, by telephone, computer, email, and correspondence) with staff at all levels, elected officials, and external stakeholders to establish work relationships; apply management practices, techniques, and methodologies to assigned activities; identify and prioritize problems and formulate possible solutions; identify and interpret program-administrative requirements, policies, and regulations to provide guidance and advice; work independently and handle confidential information.
