POSITION SUMMARY:
Primary responsibilities are for management and administrative oversight of the Guardian Ad Litem office. Proper management of all client information and reports is necessary. The nature of the tasks to be completed is of a highly confidential nature and requires a person of maturity and sound judgement. The Office Manager will report directly to the Department Head and senior GAL attorney.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
- Act as administrative assistant and secretary to the attorneys and caseworkers.
- Create, manage and update all client files including documenting all court proceedings.
- Regularly take orders to Judge’s Chambers and file in Clerk of Courts.
- File Termination of Parental Rights paperwork in Orphan’s Court.
- Maintain court schedules.
- Act as Business Manager by providing for the processing of expense statements; generating purchase orders and receiving orders.
- Responsible for assuring the availability of office supplies and printed materials needed for the daily operation of the department.
- Keep daily attendance and process bi-weekly payroll for the department.
- Process all non-routine travel requests for CLE classes and seminars for attorneys, and training conferences for social workers.
- Responsible for submitting briefs to Superior Court.
- Compose/maintain confidentiality in all aspects of personnel and departmental matters.
- Assist in development of departmental policies and programs.
- Maintain fiscal records and adhere to county budgetary compliance and reporting.

- Bachelor’s Degree
- General computer knowledge and skills
- Good telephone, verbal and written communication skills
- Ability to work with other offices and agencies
- Knowledge of all departmental county computer systems and county payroll, purchasing and personnel system(LAWSON)
- Must be able to work without direction and work effectively with the public and Court offices.
