Job Summary
Manages and coordinates events, calendars, purchasing, reimbursements, and business operations, ensuring smooth execution of programs, meetings, and administrative processes. The position serves as a central liaison across teams, vendors, and campus offices to support leadership priorities, operational efficiency, and organizational needs.Duties & Responsibilities

Manage and coordinate all aspects of events hosted and sponsored by CSBS. Including complex scheduling and meeting/events. Some of the duties for coordination of events include:
- Coordinating travel/lodging, creating an itinerary, process payments and reimbursements for external speakers.
- Room reservations for events and meetings.
- Ensure any supplies needed for the event are ordered.

Oversee the leadership teams' calendars. Exercise independent judgment and initiative in determining priorities and effective utilization of time for meetings and appointments, including coordination with other campus offices in attendance and meeting place arrangements.
- Manage calendars for CSBS team members, ensuring efficient scheduling and coordination

Process all vendor payments and PO requests.
- Acts as a purchaser using a T-Card and P-Card and maintains records of all transactions.
- Program advances and honorariums in Chrome River
- Requisitions and purchase orders in iBuy.
- Maintain and Order office supplies
- Processing reimbursements for CSBS staff.
- Work with the contract office to coordinate the PRLF MOU for the legislators.
- Track CSBS Affiliates program participation including coordinating annual survey distribution and submissions and monitoring affiliate applications.
- Serve as the primary liaison to Facilities & Services (F&S) and technology services for building-related and business operation needs of the team.
- Serve as the FabWeb equipment manager and coordinate all aspects of the inventory process. Serve as a point of contact for all internal and external questions related to items tracked in FabWeb and FabPlus inventory systems.
Minimum Qualifications
1. High school diploma or equivalent.
2. Any one or combination totaling two (2) years (24 months) from the categories below:
A. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate’s Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)
B. Work experience performing office/clerical activities, including the use of computer systems.
3. One (1) year (12 months) of work experience comparable to the second level of this series.
Appointment Information
This is a 100% full-time Civil Service 3243 - Office Support Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible after the close date. The wage for this position is $42,032.38.
