Work Hours:


Our office hours are from Monday – Friday, 8:00 a.m. to 5:00 p.m. There is no set schedule for field personnel as work schedules vary depending on client needs.


Position Overview:


The Operations Administrator at Pref-Tech will be responsible
assisting the
Project Managers and operations staff with any administrative functions including but not limited to issuing purchase orders, creating project documentation such as data submittals, O&M manuals, and warranty documents.

The following are tasks that the position is responsible for, but not limited to:

  • Procurement:
  • Enter Purchase Orders for Project Managers after they have sent you the BOM (Bill of Materials)
  • Track Order Confirmations
  • Vendor Information

Liaise with Accounting team to ensure operations team compliance with the following:

  • Interface with AP regarding material procurement, receipt, and handling
  • Assist with pay apps



  • Enable assist with end-of-project closeout deliverables (warranties, O&M manuals, etc.)


  • Enable/assist PMs with project deliverables (product data submittals, job-specific safety certs, job specific badging, etc.)
  • Schedule and maintain training records
  • Backup to Warehouse Associate (general receiving duties as needed)

Desired Qualifications and Experience:

  • High School Diploma or GED Equivalent.
  • At least 2
    years
    relevant administrative experience.
  • Exceptional written and verbal communication skills.
  • Ability to hold others accountable to completing their assigned tasks, even if they hold positions of greater responsibility.
  • Fluency with Microsoft Office 365 software tools.
  • Willingness to take on new challenges and build on current skills.
  • Exceptional analytical and conceptual thinking
    skills.
  • Capacity to work independently and
    collaboratively.
  • Ability to work efficiently without compromising quality or
    accuracy.
