Overview
We are looking for a highly organized and detail-oriented Secretary to join our nonprofit organization. The ideal candidate will have strong administrative skills and a commitment to providing exceptional customer service. This role is essential for ensuring the smooth operation of our nonprofit, serving as the first point of contact for executive chairpersons, clients, and visitors, while also supporting various administrative functions.
Duties
- Manage front desk operations, greeting visitors and directing them appropriately.
- Handle incoming calls and emails, providing information and assistance as needed.
- Maintain organized filing systems for both physical and digital documents.
- Perform data entry tasks, ensuring accuracy in all computerized records.
- Assist with scheduling appointments and managing calendars for staff members.
- Support office operations by ordering supplies and maintaining inventory levels.
- Provide clerical support such as preparing correspondence, reports, and presentations.
- Collaborate with team members to enhance office efficiency and productivity.
- Serve as a personal assistant to chairpersons when required, handling confidential information with discretion.
Experience
- Previous experience in an administrative role or as a secretary is preferred.
- Strong computer literacy with proficiency in office software applications (e.g., Microsoft Office Suite).
- Experience in customer service or front desk operations is highly desirable.
- Familiarity with dental receptionist duties is a plus but not mandatory.
- Excellent organizational skills with the ability to manage multiple tasks simultaneously.
- Strong communication skills, both verbal and written, to effectively interact with clients and colleagues.
