Knoxville Orthopaedic Clinic is seeking a candidate for our Patient Accounts Supervisor position, a Monday through Friday opportunity with flexible scheduling at our Central Business Office in West Knoxville.
The Patient Accounts Supervisor will lead and manage a team responsible for processing bankruptcies, reviewing patient balances for outsourcing, monitoring collections, and handling litigation reviews. The Patient Accounts Supervisor fosters a smooth billing process through collaboration, workflow improvement, and the use of technology to enhance efficiency. Acting as a coach and role model, the Patient Accounts Supervisor supports team members with hiring, training, performance guidance, and feedback, while maintaining a professional, patient-centered approach that aligns with Knoxville Orthopaedic Clinic’s purpose—to improve lives through patient-centered care, every patient, every time.
Key Responsibilities:
- Follow the KOC Playbook
- Participate fully in training, taking responsibility for learning all material presented
- Learn and follow new policies and procedures
- Recommend improvements or changes to workflow as needed
- Take initiative to help other team members
- Adhere to patient confidentiality policies and HIPAA guidelines
- Serve as a resource to team members, patients, physicians, and the organization
- Serve as a role model for coworkers, exhibiting strong work ethic and exemplifying organizational values
- Utilize time well to support the overall clinic needs
- Set up patient payment arrangements and pre-list to payment monitoring.
- Upload and monitor accounts in payment monitoring.
- Interact with the Extended Business Office (EBO) by answering questions or providing requested documentation as the EBO reviews monthly A/R reports and follows up on unpaid patient balances.
- Collect and follow up on delinquent patient balances.
- Determine accounts to be turned over to collections.
- Manage patient billing emails within the patient portal.
- Post physician unforgiven account adjustments and add alerts on patient accounts.
- Manage bankruptcy notices.
- Resolve notifications of incorrect patient addresses from returned statements and USPS reports.
- Review and approve lawsuits for collection agencies according to guidelines.
- Oversee weekly Bad Debt process and guarantor corrections.
- Prepare weekly productivity reports.
- Interview, hire, and onboard new team members.
- Manage team schedules and approve PTO according to department guidelines.
- Produce reports for month-end and leadership review as requested.
- Conduct monthly team meetings and bi-monthly one-on-one meetings.
- Report team needs and concerns to supervisor.
- Handle calls relating to accounts tagged as "restricted".
- Ensure adherence to confidentiality policies and professional conduct.
- Foster a respectful, service-oriented team environment.
- Promote collaboration and continuous improvement.
- Other duties as assigned.
Required Qualifications and Skills:
- High school diploma or equivalent
- 2 years of experience in a medical billing office or similar detail-oriented environment.
- Strong attention to detail
- Effective multitasking and problem-solving skills
- Proficient computer skills, including use of multiple screens and programs
- Clear and concise communication
- Good judgment under pressure
- Strong interpersonal skills with compassion, empathy, and a sense of humor
- Flexibility, adaptability, and a willingness to learn and seek help when needed
- Experience with patient or customer collections
- Customer service orientation and public relations skills.
Preferred Qualifications and Skills:
- Experience in orthopaedics or specialty medical billing.
- Knowledge of medical billing and coding.
- Experience with NextGen
- Familiarity with revenue cycle management principles.
- Experience using technology to streamline workflows.
- Leadership experience with hiring and team development.
