About the Role
We’re looking for a Patient Service Representative with a warm, professional presence who delivers excellent customer service in a fast-paced, team-based dental setting on a short-term, onsite assignment. You’ll be the first point of contact for patients—managing phones, scheduling, check-in/out, and basic financial processing—while supporting a smooth, welcoming experience from arrival to departure.
What You Bring
Required
- Experience answering phones and managing customer interactions in a service-oriented role.
- Exceptional customer service, active listening, and clear verbal/written communication.
- Comfort with computers, basic data entry/typing, and learning practice software.
- Strong accuracy and attention to detail; reliable, punctual, and team-oriented.
- Basic cash-handling and everyday math skills; professionalism and discretion with PHI.
Preferred
- Front-desk experience in dental/medical or other healthcare settings.
- Working knowledge of dental insurance (HMO/PPO) and eligibility/benefits workflows.
- Familiarity with dental practice software (e.g., Dentrix, Eaglesoft, Open Dental).
- Bilingual or multilingual skills.
What You’ll Do
- Greet patients warmly; manage check-in/check-out and ensure a friendly, tidy waiting area.
- Answer multi-line phones; handle inquiries; route messages; check voicemail daily.
- Schedule, reschedule, and confirm appointments; maintain the appointment book and recall lists.
- Follow up on no-shows/cancellations and assist with rebooking.
- Register patients and update demographics, medical histories, and consent forms.
- Post charges and payments accurately; collect co-pays and balances; provide receipts.
- Support treatment plan presentation and acceptable financial arrangements as directed.
- Respond to patient questions/concerns in line with practice policies while protecting PHI (HIPAA).
- Collaborate closely with clinical and office teams; assist with inventory/office tasks as needed.
- Perform other related duties as assigned.
