Patient Services Representative, Family Health Center

Job Summary: Coordinates and provides a variety of clerical/administrative duties associated with daily physician practice operations. Serves as the initial point of contact for patients and healthcare providers within the practice. Delivers the high standard of customer service necessary to maintain the overall patient experience.

Minimum qualifications:

  • High School Diploma or GED. In lieu of diploma, equivalent combination of experience and education required.



Preferred qualification:

  • Associates Degree in Business or related field. One year experience in a healthcare setting. Bilingual in English/ Spanish.

  • Able to explain, educate, and support the usage of the VHP patient portal including various features.

Essential Functions:

Performs a variety of detail-oriented administrative tasks that anticipates the needs of colleagues and patients according to the VHPCHC's policies and standard work.

  • Able to handle cash and other methods of payments accurately.
  • Answers telephones and directs calls appropriately.
  • Communicates messages accurately and in a timely manner as determined by practice needs.
  • Maintains current knowledge of insurance, managed care plans, and medical authorization requirements.
  • Supports patient and providers with virtual care needs.
  • Obtains and verifies insurance authorizations/precertification and completes medical record release requests and schedules/confirms patient appointments.
  • Performs appropriate patient outreach include telephone and EMR messaging.

Gathers information necessary for accurate registration and check-in to fulfill service promise.

  • Performs registrations, insurance verifications, scheduling, billing, filing, referral, and other clerical functions accurately and in a timely manner.
  • Coordinates internal and external appointment for new and establish patients based on patient's medical need, preference, and the practice schedule.
  • Treats all patients, and their families, significant others, peers, staff, visitors, providers, and professional colleagues in a pleasant and courteous manner.
  • Support VHPCHC performance standards.
  • Performs data entry tasks in a patient's electronic medical record.
  • Keeps abreast of changes in all insurance providers regarding coverage and reimbursement changes.

Performs activities utilizing specific equipment and supplies appropriately.

  • Knows the location, operation, availability, and care of equipment.
  • Problem solves, troubleshoots, and take corrective measures in care and handling of equipment.

Functions as a team member to support practice and VHPCHC goals and objectives.

  • Provides input as requested for performance appraisals of team members.
  • Acts as a willing and available resource to patients and team members.
  • Supports quality initiatives.
  • Sustains the execution and flow of the patient schedule to provide the best patient experience while fostering a team environment.
  • Adheres to the VHPCHC confidentiality policy without exception.
  • Collaborates in all aspects of training, staffing, and functionality while providing substantial and valuable feedback.

  • Organizes effectively and efficiently to accommodate interruptions and changing priorities.

Demonstrates competency utilizing various technologies, equipment, and supplies to safely provide patient care.

  • Knows the location, operation, availability, and care of equipment and demonstrates competency in skills required of position.
  • Problem solves, troubleshoots, and take corrective measures in care and handling of equipment.
  • Assures an environment that is safe for colleagues, patients, and visitors. Complies with the Safety Management Program. Corrects and reports unsafe situations and practices.
