We are looking for a detail-oriented Payroll & T&E Administrator to join our Finance team. This role will support the end-to-end payroll process in collaboration with HR and our third-party PEO provider, ADP, and will also manage the daily administration of our Travel & Expense (T&E) program. This position requires strong knowledge of payroll processing, pay codes, and reimbursement handling, as well as a structured, proactive approach to expense and travel management.
A day in the life and how you’ll make an impact:
Payroll Administration
Coordinate payroll processing with HR and ADP for bi-weekly and semi-monthly pay cycles.
Validate timesheets, PTO, bonuses, commissions, and deductions.
Validate and apply pay codes accurately (e.g., bonuses, commissions, severance, relocation lump sums, stipends, and reimbursements).
Ensure proper tax setup and compliance with federal, state, and local payroll tax laws.
Manage and track open tax filings, amendments, and jurisdictional updates with ADP.
Submit and follow up on ADP Workforce Now cases and troubleshoot issues as needed.
Reconcile payroll-related general ledger accounts and ensure payroll accuracy.
Assist with year-end activities, including amended W-2s, 1099s, and payroll audits.
Respond to employee inquiries related to payroll, pay statements, and deductions.
Respond to employee inquiries about payroll, deductions, or pay statements.
Travel & Expense (T&E) Management
Own the day-to-day administration of the company’s T&E program through Navan.
Review and audit employee-submitted expense reports for policy compliance.
Partner with Navan’s Customer Success Manager to maintain platform functionality, resolve issues, and optimize features.
Manage vendor relationships and negotiate corporate hotel rates and preferred travel terms.
Collaborate with Finance to reconcile T&E transactions and GL accounts.
Train all new employees on T&E systems, policies, and best practices.
Support internal audits and flag recurring violations or compliance concerns.
Recommend updates to travel and reimbursement policies in partnership with HR.
Cross-Functional Collaboration
Partner closely with HR, who manages timecard inputs and employee data entry into ADP.
Collaborate with HR and Legal to ensure payroll and travel policies are legally compliant and up to date.
Support Finance leadership in process improvement, audit readiness, and vendor management.
Compliance & Documentation
Maintain strict confidentiality and data integrity at all times.
Maintain accurate payroll and expense records.
Assist with internal and external audits related to payroll and expenses.
Stay up to date with labor laws and taxation changes affecting payroll and travel.
Requirements
- Minimum 4 years of experience in payroll processing
- Strong knowledge of payroll systems (e.g., ADP, Paychex, Paycom).
- Familiarity with expense management tools (e.g., Navan, Concur, Expensify).
- Solid understanding of federal/state payroll regulations and tax filings.
- High attention to detail and data accuracy.
- Proficient in Excel and financial reporting tools.
- Excellent interpersonal and written communication skills.
- Highly organized with a structured daily work routine and follow-through.

Compensation:
UVeye provides salary ranges that comply with the New Jersey State Law on salary transparency in job advertisements. Actual salaries depend on a variety of factors, including experience, qualifications, skills, location, education, and operational needs. The salary range or contractual rate listed does not include bonuses/incentives or other forms of compensation or benefits. The annual base salary range for this position is $60,000 – $75,000.
