Position Overview
The Payroll Supervisor is responsible for overseeing all aspects of payroll administration, including the accurate and timely processing of payroll, ensuring compliance with California wage and hour laws, managing payroll system updates, and overseeing administrative adjustments. This role requires strong knowledge of payroll systems, labor law compliance, and attention to detail.
Essential duties and responsibilities include, but not limited to the following:
Payroll Processing & Oversight
- Manage end-to-end payroll processing for all employees, ensuring compliance with California regulations
- Ensure accurate calculation and payment of wages, bonuses, overtime, and deductions, including compliance with union requirements and garnishments orders
- Review and approve payroll adjustments, retroactive payments, and final paychecks
- Ensure timely and accurate distribution of pay stubs and wage statements
- Process and remit payroll taxes and related filings, including w-2s, 941s and DE 9s
Compliance & Auditing
- Maintain up-to-date knowledge of California Labor Code and BAPKO policies, including regulations related to overtime, meal and rest break laws, and wage theft protections
- Ensure payroll processes are compliant with federal, state, and local regulations, as well as BAPKO policies
- Conduct regular audits of payroll records and reports, promptly resolving any discrepancies
- Prepare reports for internal and external stakeholders and support certified payroll audits
System Management & Updates
- Collaborate with the IT department to test and implement system upgrades, tax updates, and automation tools
- Conduct payroll system validations and testing in a sandbox environment prior to production deployment
- Maintain documentation of system changes and ensure integrity of payroll data
Team Leadership & Collaboration
- Supervise payroll staff and provide training on regulatory changes and internal procedures
- Collaborate closely with HR on employee classifications, onboarding/offboarding, and benefits-related payroll updates
- Partner with the Finance team to reconcile payroll and prepare journal entries as needed
Administrative Adjustments
- Review and process Payroll Adjustment Requests, ensuring appropriate and timely resolution
- Communicate payroll corrections to employees clearly and promptly
Preferred Education, experience, qualifications and other requirements:
- Degree or certification in a related field
- Minimum of 5 years of payroll experience, supervisory experience a plus
- Strong knowledge and experience in California wage and hour law compliance is required
- Experience with trade unions and certified payroll requirements preferred
- Proficiency with large payroll systems required, experience with Criterion a plus
- 100% In office work environment, minimal travel to other locations may be required
