Core Duties:

  • Support development, tracking, and updating of project schedules, work plans, and budget forecasts under the direction of the Program Manager.
  • Submit weekly status updates and performance metrics to leadership using standardized templates.
  • Organize and document internal and external project meetings; distribute agendas prior to meetings and clear, concise minutes within 24 hours.
  • Prepare and maintain accurate project documentation—including staffing trackers, performance logs, timesheets, contracts, and invoices.
  • Ensure all communications—emails, updates, and notes—are professionally written, clearly titled, and shared with relevant stakeholders.
  • Maintain written records of verbal decisions and in-person communications for auditability and accountability.
  • Take full ownership of assigned tasks and proactively follow through to completion without repeated prompting.
  • Identify risks or delays early, communicate issues within 24 hours, and propose viable solutions where possible.
  • Act as liaison to project partners, vendors, and clients—ensuring timely follow-up and a consistent presence in stakeholder communications.

Support Duties:

  • Assist with sourcing, vetting, and onboarding qualified candidates to meet staffing and operational needs.
  • Coordinate and track team attendance logs, timesheet submissions, HR compliance items, and corrective action records.
  • Approach all team interactions with professionalism, empathy, and discretion—especially in handling sensitive personnel matters.
  • Prioritize tasks effectively using a structured task list and calendar alerts; maintain visibility of all open action items and deadlines.

Success Profile:

  • Produces well-organized and professional written communication, even under pressure.
  • Maintains an active task list with deadlines and status notes; completes 100% of assigned deliverables on time.
  • Anticipates issues and suggests solutions before problems escalate.
  • Demonstrates calm, confident presence in stakeholder meetings.

Qualifications:

Required:

  • High school diploma or equivalent.
  • Minimum 3 years of experience in project coordination, operations support, or contract administration.
  • Strong written and verbal communication skills with demonstrated ability to produce professional, actionable messages and documents.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook), and task tracking software such as Smartsheet, Microsoft Project, Trello, or OneNote.
  • Proven ability to manage time effectively, balance competing priorities, and maintain detailed, accurate tracking of multiple deliverables.
  • Independent problem-solving skills, sound judgment, and confidence in escalating or resolving issues as needed.

Preferred:

  • Bachelor’s degree in Business, Project Management, Engineering, or a related field.
  • Completion of PMP coursework or equivalent coordination training.
  • Experience supporting government, infrastructure, or transportation projects in contract-based environments.
  • Familiarity with HR and compliance platforms (e.g., BambooHR, ADP, or Timesheet Portal).
  • Prior experience initiating or documenting personnel actions in coordination with internal HR or compliance teams.

Work Environment & Physical Demands:

  • Hybrid work model: primarily office-based with regular travel to local project sites and partner offices (upon demand).
  • Requires regular use of email, task tracking software, and video conferencing platforms.
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
  • Must be able to travel to project sites to gather information and consult with project stakeholders and team members.
  • The role includes standard office activities, occasional lifting, and outdoor site visits.
  • Evening or weekend availability may be required to meet critical project deadlines

Compensation

  • $42,000 - $52,000 depending on experience, ability, and capability.
