We are undergoing a major transformation at our Rockville, MD office, recently acquired as part of a legacy CPA firm. The existing structure, systems, and workflows are being rebuilt from the ground up. We're seeking a highly capable, execution-driven Project Manager to lead this overhaul.
This is not an abstract planning role — we’re looking for someone who is just as comfortable drafting workflows as they are overseeing an intern, speaking with walk-in clients, coordinating between IT teams, or troubleshooting billing tech.
Core Objectives:
- Redesign the billing and workflow system from scratch, including process documentation, billing follow-up, and A/R management
- Lead the migration and integration of document systems (e.g., from FileShare to AWS), and align tools with our national infrastructure (Dimov Tax)
- Oversee and optimize the on-site team
- Implement automations for engagement letters, client communications, reminders, etc.
- Be the on-site lead for operations, vendor coordination, IT liaison, and daily issue resolution
- Turn a previously underperforming office into a reliable, tech-enabled, 2025-ready environment
Key Responsibilities:
- Proactively audit full systems and plug gaps - systems include engagement workflow, sales workflow, IT workflow
- Create and roll out new processes for admin and billing workflows
- Develop and manage project timeline, deliverables, and success benchmarks
- Collaborate with IT to complete systems migrations, integrations, etc.
- Coordinate staffing changes, hiring, and training
- Ensure seamless integration with central Dimov Tax infrastructure and culture
- Maintain momentum, accountability, and clarity across all stakeholders
You Are:
- A builder and fixer – someone who thrives on solving operational chaos
- Experienced in small-office turnarounds, systems implementation, or post-M&A integration
- Able to lead with clarity, keep others on track, and execute without micromanagement
- Strong with technology (billing tools, cloud file systems, automation tools, web tools)
- Bonus if you have experience in lead/marketing workflows, client management, and/or professional services
