Job Description
- Accountability and organization for the team
- Manger of all paperwork and meetings
- Excellent paper trail and recording process for all that we do
- Client follow up for paperwork related things
- Responding to all client questions and concerns after buyer or seller agreements have been signed
- Monthly MREA reports and tracking business numbers
- Client care ensuring they’re raving fans and have an exceptional experience
- All showings
- Taking buyers to see homes
- Showing unrepresented buyers our listings
- Answering the team phone
- Filing organizing system
- Listing management
- Managing all showings
- Drip campaigns DURING transactions
- Onboarding and training new team members and agents
- Writing all SOP’s for team
- CRM management
- Team trainings and tutorials. Daily, Weekly, monthly.
- HR
- Payroll
- Time off requests
- Document Monthly & Quarterly review/check in meetings
- Recording meeting minutes
- Create and manage meeting Agendas
- Accountability for goals and objectives set
Expectations
- In the Provo office 9am-5pm Mon-Fri
- No missed contract deadlines
- 100% flawless contract to close process
- Detailed Communication with clients for all needs except negotiations
- Record meetings and take minutes.
- Organize everything in our business
- Answer the phone by the 2nd ring 95% of the time 24/7. 30 second response rate.
- 30 second response time to clients questions or needs 24/7
- Daily, weekly, monthly MREA meetings. Track all our business numbers.
- Transaction Coordinator covering for Administrative Assistant when gone
- 36 touch marketing plan
- Lead care
- Detailed and up to date transaction tracker
Requirements
✔ Several years of real estate experience—especially with transaction coordination.
✔ Ability to work full-time, Monday–Friday, 8 AM–6 PM MT (with occasional evening/weekend needs).
