RESPONSIBILITIES
General Description
Service writers effectively manage the service sales process. This is done by greeting customers, listening to their description of the problems or services needed, determining the type of service required and preparing repair orders. If a vehicle requires additional repairs not covered in the original order, they estimate the additional cost and obtain customer permission to do the work. Advise customers on other available services. Reviews completed work with customers and collects payment. Service writer is responsible for overall customer satisfaction and reviews. The Service Writer manages a team consisting of a lead Technician and an assistant.
Job Duties
- Meets customers and listens/ documents customer concern and advises recall/ safety concerns, preventative maintenance, cosmetics, and recommended accessories
- Creates RO and writes a brief description of the customer’s concern on the repair order to help the technician locate the problem
- Schedules RO for dispatch
- Checks on progress of repair throughout the day. Contact customers regarding any changes in the estimate or promised time, explains cost and time requirements in detail, and gets proper authorization before any additional repairs are performed.
- Reviews repair orders to ensure that work is completed, and additional work and authorization is noted.
- Determines responsible party for payment (customer pay, warranty company, or dealership)
- Reviews completed work with customers. Collects payment from the party responsible
- Closes repair order as appropriate.
- Ensures that vehicles are parked in assigned areas. Make sure they are locked, and all keys are marked and put away correctly.
- Service writer responsible for overall customer satisfaction and reviews.
- Maintains a professional appearance, keeps work area clean, and other tasks assigned
Position Requirements
- Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
