Surgical Scheduler II
Position Summary/ Department Summary:
Under general supervision and following established policies and procedures, coordinates complex scheduling of surgical procedures for operating rooms according to predetermined block schedules and established policies and procedures. Works with nursing, surgical, and anesthesiology staff to monitor and evaluate scheduling procedures and develop strategies to promote efficient utilization of surgical suites. May coordinate surgical cases for multiple surgeons at multiple locations.

May coordinate surgical cases for multiple surgeons at multiple locations.
Key Responsibilities:
- Schedules inpatient and ambulatory surgical procedures according to block schedules and policies. Prepares daily surgical schedules, including special equipment and radiology needs.
- Communicate with surgeons, staff, and admissions to confirm schedules and identify special requirements. Notifies referring physicians of upcoming procedures.
- Records and verifies scheduling information in hospital systems; ensures accuracy of patient data. Prints and distributes schedules as needed.
- Coordinates with nursing, surgical, and anesthesiology staff to improve efficiency and utilization of OR suites. Identifies additional OR time for surgeons as required.
- Monitors Epic for insurance authorizations and schedules consults (e.g., cardiac clearance) prior to surgery.
- Communicates critical information such as provider availability and special equipment requests to appropriate staff.
- Responds to routine inquiries from patients, families, and staff, referring clinical or complex issues to the appropriate personnel.
- Escalates urgent issues to supervisor and provides follow-up updates.
- Assists with onboarding and training of new staff; acts as a resource to level I staff. Works independently with minimal supervision.
- Compiles and assists in preparing monthly OR metrics and related reports.
Minimum Qualifications
Education:
- High school diploma or GED required.
Experience:
- Minimum 2 years of healthcare admin experience required.
- 1 year of direct surgical scheduling experience required for external candidates.
