We’re seeking a Wholesale and Outreach Coordinator to manage reorder communication, lead outreach, and data organization. You’ll be the link between Indigo Maiden and our network of stockists—keeping outreach organized, reorders flowing, and leads warm. You’ll use tools like Airtable, ClickUp, and Gmail to drive sales and nurture relationships, and work directly with the owner to build sustainable systems to support our next stage of growth.
This is a supportive, behind-the-scenes role for someone who’s highly organized, self-motivated, and great at follow-through. You don’t need to be loud or salesy—just genuinely kind, consistent, and dependable. We strongly encourage applicants who are neurodivergent, LGBTQ+, disabled, or otherwise underrepresented to apply.
Key Responsibilities
Wholesale CRM & Follow-Up
- Maintain reorder outreach system using Airtable and ClickUp
- Ensure all stockists receive a personalized reorder touchpoint regularly
- Track and report reorder activity and follow-up success
- Maintain accurate records of retailer activity, communications, and preferences
- Flag and prioritize stockists with high potential or long reorder gaps
Cold Outreach & Lead Generation
- Research stockist details for provided leads (buyer name, store email, physical address, etc.)
- Send and track personalized cold pitches to independent bookstores, gift shops, and aligned retail prospects
- Track lead status, engagement, and conversions
- May eventually include identifying leads, depending on growth and capacity
Customer Interaction
- Track and respond to customer messages and sample inquiries
- Coordinate with production and fulfillment teams to communicate customer preferences and ensure timely order processing
Campaign Support
- Print and stamp postcards for retailer touchpoints, cold pitches, and trade show marketing
- Assemble sample mailers with precision and attention to detail (stickers, samples, notes, etc)
- Coordinate shipping logistics in ShipStation and with the owner
- Track outreach details in Airtable
Reporting & Strategy
- Track campaign success, reorder response rates, and outreach ROI
- Provide feedback on CRM process improvements and outreach strategies
- Collaborate with the owner and executive assistant to hit sales and expansion goals
- Provide updates on weekly progress, wins, and blockers

- Familiarity with indie gift, stationery, or book markets (or are a bookworm yourself)
- Experience with Airtable, ClickUp, Slack, ShipStation, and/or Mailsuite
- Experience with lead generation or CRM management
- A background in indie retail, sales support, wholesale management, or CRM tools
