A little bit about you

You are a highly organised, discreet and dependable administrator who stays calm under pressure and takes pride in getting the details right. You enjoy supporting senior leaders and bring a genuine commitment to the mission and values of the Society.

More specifically you will have:

Relevant qualification in business administration, governance, legal administration or office administration

Demonstrated experience providing executive assistant or senior administrative support to a senior leader or executive

Experience coordinating meetings, papers, action registers, confidential records and stakeholder communications

Understanding of governance processes, confidentiality, privacy and records management obligations

Excellent organisation, diary management, prioritisation and follow-through, with strong proofreading and document preparation skills

Professional interpersonal skills and confidence liaising with senior stakeholders, plus strong Microsoft Outlook, Word, Excel, PowerPoint, Teams and SharePoint skills

Experience working in a not-for-profit, community services, government, legal or regulated environment would be highly regarded.

About the role

The Executive Assistant, Office of the Chief Legal and Governance Officer provides high-quality executive, administrative and coordination support to the Chief Legal and Governance Officer and the Legal and Governance portfolio.

You will support effective diary and inbox management, meeting coordination, correspondence, governance processes, records management, reporting, action tracking and confidential document handling.

The role requires a high level of professionalism, discretion, attention to detail and responsiveness, given the sensitive nature of legal, governance, risk, compliance, quality, safeguarding and company secretariat matters.

Key responsibilities

Provide proactive diary, inbox, travel and meeting support to the Chief Legal and Governance Officer, escalating urgent or sensitive matters appropriately

Prepare, format and proofread correspondence, reports, presentations, meeting papers and briefing notes

Coordinate governance meetings, committees and working groups, including agendas, papers, action registers and follow-up

Provide administrative support for legal, risk, compliance, quality, safeguarding and company secretariat matters, including tracking deadlines and policy review cycles

Maintain accurate records, document registers and version control, with secure handling of sensitive documents

Act as a professional point of contact for senior leaders, Board and committee stakeholders and external parties
