More specifically you will have:
Relevant qualification in business administration, office administration, community services administration, governance or project coordination
Demonstrated experience providing executive assistant or senior administrative support to a senior leader or executive
Experience coordinating meetings, papers, action registers, confidential records and stakeholder communications
Understanding of confidentiality, privacy, safeguarding, records management and delegations, with awareness of community services, membership and volunteering environments
Excellent organisation, diary management and follow-through, with strong proofreading and document preparation skills
Professional interpersonal skills and confidence liaising with senior leaders, Members, Volunteers and external stakeholders, plus strong Microsoft Outlook, Word, Excel, PowerPoint, Teams and SharePoint skills
About the role
The Executive Assistant, Office of the Chief of Mission Delivery provides high-quality executive, administrative and coordination support to the Chief of Mission Delivery and the broader mission delivery portfolio.
You will keep the office running effectively across diary and inbox management, meeting coordination, correspondence, document preparation, records management and stakeholder liaison. Working with professionalism, discretion and care, you will help create a connected and responsive portfolio that enables Members, Volunteers and employees to deliver mission-led services and good works in support of companions, clients and communities.

Key responsibilities
Provide proactive diary, inbox, travel, meeting and administrative support to the Chief of Mission Delivery, escalating urgent or sensitive matters appropriately
Coordinate across the mission delivery portfolio, including Membership support, Volunteer engagement, Special Works and VincentCare Victoria, tracking priorities, actions and risks
Act as a warm, professional point of contact for Members, Volunteers, employees, VincentCare leaders and other stakeholders
Coordinate agendas, papers, minutes and action registers for portfolio forums, and support preparation for Executive, Board and committee meetings
Prepare, format and proofread correspondence, briefing notes, presentations and meeting packs, with clear, values-led communication
Maintain accurate records and secure handling of sensitive information and escalate administrative, reputational and information-handling risks
