Group Coordinator

This will include, but not be necessarily limited to, and in no particular order of priority:

• Maintain contact and communication with the Group Manager(s) and the General Manager on all matters affecting the successful operation of groups including activities, team building, events/functions, hospitality desk services, Tour Desk and any other special requests.
• Assist with timely, accurate preparation and production of various documents for Group Managers which assist in the entire arrival and departure process of groups (flight manifests, luggage tags, sign-up sheets, departure notices, etc.).
• Prepare all equipment & supplies needed for event/function & coordinate as per Group Manager Requests and theme specifications.
• Assistance with purchase orders for miscellaneous event/function supplies, program confirmations, billing verifications and statements.
• Manage all written and verbal communication with suppliers to book/cancel or change a tour/activity booking.
• Manage Group Hospitality Desks.
• Timely and accurate completion of the necessary Hospitality Desk reports.
• Building and updating regularly the database of internal information e.g., telephone listing and supplies, suppliers’ information, resources and costs and communicating with the General Manager.
• Development & maintenance of good professional relationships with suppliers and Hotel Team Members.
• Maintenance of good working relationships with Event/Banquet teams of Hotels and report issues or concerns directly to the Group Manager(s) for resolution.
• Any other areas where you are needed. It is expected that you will volunteer your assistance, should you find yourself with downtime, where other areas of the operation might still be busy.
• Maintenance and enhancement of Sunlinc service standards and reputation as a leading Caribbean DMC.
