Job Summary:

This position is responsible for ensuring strong interdepartmental communication and compliance in receiving deposits, accuracy in reconciliation of insurance payments, patient payments, and the posting of payments into patient accounts.

Supervisory Responsibilities:

Responsibilities include oversight of payment posting and reconciliation of daily deposits with a heavy focus on quality and accuracy. The Payment Posting Supervisor will oversee the lockbox activity and ensure proper routing of payments and other correspondence. This position works to appropriately integrate and facilitate best practices, achieve efficiencies, streamline operations, and ensure the department is operating within rules and regulations applicable to the division and Raintree Systems, Inc.

Essential Responsibilities:

  • Provide leadership and direction to employees of the Payment Posting Department both stateside and offshore. This includes, but not limited, to hiring, training, coaching, performance reviews and terminations
  • Manage and oversee day-to-day activities and responsibilities of the Payment Posting and Reconciliation team. This team is responsible for receipt, posting, and reconciliation of all incoming deposits in order to achieve optimal performance and colleague productivity goals.
  • Manage continuous quality improvement initiatives across the Payment Posting team and other departments as assigned.
  • Plan, develop, implement, and communicate operational initiatives to improve the efficiency of the Payment Posting Department
  • Provide project guidance to the Payment Posting Department to successfully implement efficient posting processes.
  • Maintain and improve department operations by monitoring system performance, employee productivity, and identifying and resolving problems.
  • Manage communication and processes between departments involved in revenue cycle management and always identify areas for improvement.
  • Establish and monitor key performance metrics based on industry standards. Address issues in a timely manner to improve performance and resolve issues.
  • Conducts regularly scheduled meetings to communicate issues regarding compliance with established procedures and overall work unit effectiveness
  • Ensure completion of End of Month Closing activities (Gather end of month reports for all clinics and provide receivables totals).
  • Be a technical expert. This includes maintaining current working knowledge of billing rules, new regulations both states and federal, and maintaining training on Raintree’s ever evolving RCM software, etc.

Maintain a repository of knowledge required to train new revenue cycle associates including manuals, tip sheets and other materials. Ensure departmental compliance with HIPAA guidelines, Raintree Systems, Inc. HR policies, and other corporate initiatives.

  • Create and maintain documenting processes and policies for the department.
  • Communicates with Clients on a monthly basis, and assists other departments with onboarding new clients.
  • Completes other tasks and responsibilities as assigned.

Qualifications and or Experience:

  • Minimum 5 years of medical insurance posting experience, along with a minimum 2 years of Supervisor/Manager for Payment Posting functions preferred
  • Strong written and verbal communication skills; a self-starter who is dependable and reliable
  • Ability to work effectively with leaders, teams, and independently
  • Able to perform simple mathematical calculations
  • Knowledge of payer contract & government reimbursement rules and skilled in using applications for processing payments/denial correspondence
  • Detail oriented and is well organized, able to set priorities and meet deadlines
  • Proficient in Microsoft office (Outlook, Excel, Word)
  • Skilled in using computer applications for payment posting and an understanding of A/R follow up
  • Team player being supportive of Department and Company goals, policies, and HIPAA compliance
