Position Summary: The Administrative Assistant performs basic clerical duties and customer service support to internal and external customers. This position also supports the CFO and Collections department in performing audits, reconciliation of accounts and record keeping.
Compensation Data: Non-Exempt hourly pay ranging from: $22.00 - $28.00 based on experience
Schedule: Monday – Friday and Every Other Saturday (with a ½ day off during the week when working the ½ day on Saturday.)
Office Hours are: 8:30 - 4:30 pm (M-F) and Saturday 8:30 am - 12:00pm

Key Responsibilities:
- Greet and assist customers at the counter, via email and telephone.
- Recording of orders from sold merchandise.
- Prepare Board materials and reports.
- Code data for input to financial data processing system.
- Audit invoices against purchase orders and research discrepancies
- Computes and records charges, refunds, cost of lost or damaged goods, freight charges, rentals and/ or similar items.
- Assist Collections department.
- Assist in inventory Control
- Verify and post details of business transactions, such as funds received, disbursed and total accounts to ledgers, computer spreadsheets, and or databases.
- Record information about financial status of customers.
- Record and prepare deposits from donations.
- Provide exceptional customer service with all interactions.
- Complies and maintain records of business transactions and office activities.
- Filing, typing, organization of information.
- Provide general office administration support.
What you will need to succeed:
Education & Qualifications:
- Associate degree in business, accounting, finance or related field.
- 3 years of data entry, office administration experience preferred
- Experience supporting Finance department preferred
- Experienced in Microsoft products including, but not limited to Outlook, Excel, and Word
- Understanding of database software

- Ability to work independently and comfortable working in all elements of weather
- Ability to work on-site, in person including some Saturday’s.
- Ability to operate an electronic typewriter

- Comfortable meeting or exceeding deadlines
- Excellent oral and written communication skills
- Adheres to company Safety and Security policies and procedures
Physical Demands:
- Prolonged sitting
- Frequent standing, walking, bending, kneeling, stooping
- Ability to work in outdoor elements as needed.
- Ability to lift and or move up to 25 lbs.
- Ability to use close vision and adjust focus
