Overview:
We are looking for a dedicated Administrative Assistant to join our Fellowship Square team. As the first point of contact for residents, visitors, and employees, you'll play a key role in delivering exceptional customer service, assisting with maintenance requests, and connecting customers with the right staff members. This position requires a strong commitment during the training period to develop a comprehensive understanding of our campus and services, ensuring you can provide the best support to our community.

Responsibilities:
  • Greet residents, visitors, and vendors with a warm, friendly, and professional demeanor.
  • Manage phone inquiries promptly and professionally, addressing customer concerns and directing calls as needed.
  • Help customers place maintenance work orders and ensure follow-up as needed.
  • Direct customers to the appropriate staff members to address their needs or concerns.
  • Collect, count, log, and report monthly volunteer hours.
  • Create and distribute volunteer timesheets across the community.
  • Perform daily receptionist tasks and provide administrative support as assigned by the Director of Resident Experience.
  • Maintain records of overnight residents, guests, and create required reports based on gathered information.
Qualifications:
  • Minimum of 1 year of customer service experience, preferably in a healthcare or senior living environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic Windows operations.
  • Ability to communicate clearly and professionally, both verbally and in writing.
  • Strong ability to deliver high-quality customer service and resolve inquiries or issues effectively.
  • Ability to think critically and solve problems in real-time with a customer-focused mindset.
  • Excellent organizational and multitasking skills with a keen eye for detail.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
Preferred Skills:
  • Previous experience in a senior care or healthcare environment.
  • Familiarity with accounting software or tools for entering receipts and invoices.
  • Strong organizational skills with experience in administrative tasks, report generation, and recordkeeping.
  • Ability to work independently and as part of a team in a dynamic, fast-paced environment.
Schedule: Full-Time and Part-Time needed.
