Administrative Assistant
Leavitt Group in Cedar City, UT is looking for an administrative assistant for their growing office.
This position is responsible for handling a wide range of administrative and processing related tasks. This person must be well organized, flexible and enjoy the challenges of supporting an office and its team. This person will have the ability to interact with staff and customers in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, efficient, and friendly.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- General administrative and clerical duties
- Answer telephone, screen and direct calls, take and relay messages, provide information to callers
- Collects and receives daily mail including US mail, email, and retrieving information and documents from company websites
- Scans and indexes the following in the agency management system: communications, documents, insurance applications, and other related information
- Mails and emails documents to customers, company, and agency personal
- Aides in maintaining office equipment
- Monitors and orders office supplies
- Maintains the reception area
- Performs a variety of other administrative and clerical duties
- Trains other agency personnel as needed
QUALIFICATIONS

EDUCATION and EXPERIENCE
- High school diploma or equivalent
- Knowledge of clerical procedures
- Knowledge of computers and relevant software applications
- Knowledge of customer service principles and practices
- Keyboard experience
- Office experience preferred
MATHEMATICAL SKILLS
Be able to perform basic math calculations such as addition, subtraction, multiplication, and division in all units of measure, using whole numbers, common fractions, and decimals. Compute rate, ratio, and percent. Calculate discounts, commissions, and percentages.
COMPUTER SKILLS Basic knowledge of a word processing program and spreadsheet program is needed. Typing skills are required with a minimum 35 wpm.
OTHER SKILLS Ability to read and comprehend basic instructions, correspondence, and documents. Must be able to read, write and verbally communicate using the English Language. The ability to read, prepare, analyze, and interpret insurance related documents such as application forms, policy documents, manuals, and general correspondence is required. Must be able to communicate information and respond to questions (verbally and in written form) effectively with clients, company, and agency personnel. Must be detail-oriented and possess organizational skills.
REASONING ABILITY Must have the ability to deal with problems involving several concrete variables in standardized situations. Ability to apply common sense understanding, interpret and carry out instructions furnished in written or oral form for insurance and general office situations. Must be able to work eventually with minimal supervision.
CERTIFICATES, LICENSES, REGISTRATIONS The agency may request, at a future date, that a CISR Designation, and/or Insurance P&C License be obtained in order to offer advancement, and to further assist the department and its goals.
