During the winter and spring months, some members of our leadership team spend time working remotely from Texas. As a result, this role requires someone who can stay focused, self-motivated, and professionally communicative—even when primary support or oversight is remote. You will often serve as the key in-person presence in Wisconsin during that time, so reliability and strong communication are essential. You’ll be joining our small, dedicated team to support clients and ensure a smooth, welcoming office experience.
What You’ll Do:
- Greet clients and visitors with warmth and professionalism
- Serve as a key point of contact in Wisconsin, especially when managers are working remotely
- Communicate with remote team members and leadership in a clear, timely, and professional manner
- Handle phone and email correspondence
- Schedule and confirm client review meetings
- Prepare large, detailed financial paperwork with a high degree of accuracy
- Assist with scanning, filing, and organizing documents
- Support client communications and follow-ups
- Maintain the reception area and prepare conference rooms
- Coordinate mailing and logistics for client deliverables
- Assist with CRM updates and reporting tasks

Qualifications:
- Prior experience in an administrative or front-desk role preferred
- Proven ability to handle confidential client information with discretion
- Experience in financial services or high-detail paperwork a plus
- Comfortable working in a professional office setting, including with remote leadership
- Notary or willingness to become a notary
- Must be bondable and able to pass a background check
- Bachelor’s degree preferred
- 2+ years of customer service experience preferred
