Provides high-level administrative support for a group mental health practice.
Performs routine clerical and administrative functions to support the needs of clinicians and clients.
Full-time position requiring the ability to consistently perform the following:
- Greets and assists all clients upon arrival and obtains pertinent information
- Collects payment for services rendered and stores securely
- Oversees and assists with social media educational posting content
- Meets regularly with Director of Operations and Director of Practice Management
- Answers telephone and provides information in accordance with company policy
- Reads and routes emails and faxes as necessary to appropriate individuals
- Performs prior authorization process for client prescriptions
- Accepts and signs for mail and packages and notifies addressee of arrival
- Maintains clean and orderly reception and waiting room areas and stocks supplies
- Uses word processing equipment to generate letters and memos
- Prepares, issues, and sends service invoices to clients as requested
- Uploads scanned notes and letters into electronic medical record system
- Assists clinicians in maintaining a list of clients to reschedule or close chart
- Manages and maintains multiple clinicians’ schedules
- Regularly operates a computer, phone, photocopier, scanner, & credit card terminal
- Utilizes an electronic medical record and online scheduling system
- Troubleshoots problems with office equipment and web utilities
- Establishes and maintains files and records in regulation with HIPAA standards
- Maintains strict confidentiality of all clients and family members
- Responds to inquiries and requests for information requiring knowledge of policies and procedures
Education Requirements & Qualifications:
- Bachelor of Art or Science degree (preferably in Psychology)
- Administrative/office management experience preferred
Pay (based on education and experience):
- $25-$28 per hour
