Overview
We are seeking a dedicated and detail oriented Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong communication skills, a friendly demeanor, and the ability to manage multiple tasks efficiently.
This role is intended to begin at 9 a.m. (at the latest, or earlier if desired) and end at 5:30 p.m. which includes a 30 minute unpaid lunch.
We are offering competitive compensation based on experience - the range presented is preferred, but we are open to higher levels for individuals with greater experience or lower levels for individuals early in their career.

Duties
- Greet visitors, present invoices, and collect payments as needed
- Answer phone calls from clients, taking information down on commercial vehicle tows, equipment transportation, and repair orders or direct calls to the appropriate parties or take messages
- Provide accounting support - recording invoices into our accounting software (SAGE50) coding revenue to the correct general ledger (training will be provided)
- Processing mail and marking invoices at paid
- Proof read repair orders, verify part numbers, and confirm pricing on orders (training provided)
- Maintain organized records and files using computerized systems.
- Support administrative tasks such as performing clerical duties, including photocopying, faxing, mailing, filing, typing correspondence, preparing reports, and managing office supplies.
- Uphold phone etiquette standards while interacting with clients and colleagues.
Experience
- Previous experience as a receptionist or in a similar administrative role providing front desk and accounting support is preferred but not required
- Strong attention to detail and problem solving skills
- Proficiency in using computer systems for data entry and record management.
- Strong time management skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- A background in customer service or personal assistant roles is advantageous.
