ADMINISTRATIVE ASSOCIATE
Job Description:
The Creative Music Lessons Administrative Associate provides day-to-day logistical support for the company's teachers and serves as a main contact for new student inquiries, client/teacher scheduling, billing/invoices, and general client communication. Due to the higher level of client interaction, a pleasant and professional demeanor is strongly preferred. Candidate must be well-organized and have a strong ability to multi-task.

The position also provides general administrative and clerical support to the Owners of CML, which may include some event planning and execution, social media management, basic accounting, and some website maintenance.
This is a hybrid position performed mostly remotely with some occasional in-person. Admin Associates will be needed for a minimum of 20 hours per week , roughly 3-4 hours per day Monday-Sunday, with potential for more due to work load. Compensation is between $25 and $35 per hour, pending experience and is paid weekly. Position is for a 1099 independent contractor.
Responsibilities:
* Make sure client inquiries are responded to ideally within 24 hours
* Monitors company email and text software regularly and responds in a timely manner
* Coordinate new client inquiries with ownership
* Enter new student information into studio management software program completely and in a timely manner
* Provide administrative and clerical support to teachers and ownership
* Correctly maintain teaching calendar and serve as an additional set of eyes on billing
* Assist ownership with some basic accounting and Excel sheet work
* Make occasional updates to CML website
* Checks in regularly with management regarding ongoing tasks, projects, challenges
* Provide basic production support for some activities and events on an as-needed basis
* Coordinate recital and event logistics, including arranging for space, food, flowers, and refreshments
* Assist with programs for recitals as needed
* Perform other duties or projects as directed by management
Qualifications:
* Bachelor’s Degree. Experience in music or private education preferred
* Strong customer service experience and interpersonal skills
* Ability to work collaboratively as part of a team, to listen to and engage people of various backgrounds, and to maintain a professional demeanor at all times
* Excellent organizational skills and attention to detail
* Ability to set priorities and manage competing demands
* Ability to draft and edit correspondence, primarily emails and text messages
* Strong computer skills including Microsoft Office. Light design ability a plus including Adobe Creative Suite, Square Space, Wix. Familiarity with My Music Staff is a plus.
* Ability to create time saving systems
* Ability to work weekends and additional time as needed-typically August/September/October, January/February, and June
Job:
* After training period, minimum 20 hours per week to start with a potential for more hours.
* Preference for someone local to Westchester County, NY or Fairfield County, CT
Experience:
* Previous office experience preferred
* Customer service experience preferred
Job Types: Part-time, Contract
