The Akron Municipal Clerk of Courts is seeking applications for a full-time Administrative Assistant position.
Characteristic Work
The Administrative Assistant position is an at-will position and will provide administrative support to the Clerk of Courts, Chief Deputy, Chief Financial Officer, Human Resources Manager and staff at the Akron Municipal Clerk of Courts Office. Transmit decisions to and from department personnel, receive and respond to inquiries from constituents, the public and employees. Respond to public complaints; represent official and or attend various meetings with officials. (e.g. Tow Review Board Committee) Respond to public records requests and maintain public record request log; Research information and prepare reports; Coordinate internal communications and assist in the preparation of official reports; Analyze data from department heads/supervisors and summarize for review. Perform confidential and complex secretarial functions; Maintain all records and files affiliated with the operation of the Clerk of Courts Office; Schedule official oaths that are to be issued by the Clerk of Courts; Schedule and maintain appointment schedule, coordinate meetings, conferences, and make travel arrangements as required; Order and maintain inventory of office supplies and equipment; Act as liaison between the Clerk of Courts Office and applicable vendors; Maintain social media accounts on behalf of the Clerk of Courts Office; Disperse press releases on behalf of the Clerk of Courts Office, at the discretion of the Clerk; Create various forms and format documents; Receive credit card disputes and handle accordingly; Receive juror witness payments and export into established data systems; Catalog miscellaneous court orders that are received by the Clerk of Courts Office; Coordinate with the Human Resources Manager, in preparing personnel actions, job descriptions, and ensure work is performed according to the established policies and procedures. Maintain payroll processes and attendance records in absence of the Human Resources Manager. Other responsibilities as assigned by departments heads and supervisors.
This role ensures the smooth operation of court-related administrative functions, maintains confidentiality, and assists in upholding the integrity and efficiency of the Clerk of Courts Office.
Minimum Qualifications
The ideal applicant will have excellent attention to detail, superior organizational skills, and the ability to communicate and work well with others in a diverse, fast-paced environment. Commitment to confidentiality, integrity and public service. Proficiency with computer applications, including word processing, is required. Previous experience in an administrative/clerical position, and experience with data entry systems is desired. Prior experience working in the court system or legal industry is preferred but not required. High school diploma or equivalent is required, in addition to fluency in the English language. Basic arithmetic and business math skills are also required. Candidates must possess honesty and integrity of the highest standard and be able to maintain confidentiality in accordance with all applicable rules and regulations.

This job posting is specific to 1st shift. Monday – Friday 8:00 a.m. to 4:00 p.m. May be subject to overtime.

Salary and Benefits
Starting pay is $24.88 per hour with salary advancement potential contingent upon a candidate’s related skills, knowledge, and abilities. Excellent medical, dental, and vision benefits, participation in Flexible Spending Accounts, Deferred Compensation Retirement accounts, and other benefits are available. This position pays into the Ohio Public Employees Retirement System (OPERS).
