The Assistant to the Vice President for Student Affairs will perform high-level administrative duties and a variety of broad-range complex administrative support for the Vice President for Students & Dean of Students. The incumbent also coordinates and participates in a variety of administrative activities for the Student Affairs Division. Additionally, the Assistant will provide administrative support to other departments in the division that report to the VP for Student Affairs & Dean of Students. The incumbent will work independently with minimum supervision and with a high degree of professionalism and confidentiality.
Duties/Responsibilities
ice President for Student Affairs Support:
• Provide a professional representation of the Vice President's office, exercising judgment and discretion in responding to or initiating internal or external contacts. Coordinate daily activities for the Vice President for Student Affairs & Dean of Students.
• Provide complex calendar management for the Vice President for Student Affairs & Dean of Students, which is strategic, efficient, and managed with the flexibility to accommodate shifting schedules, priorities, and division-wide events.
• Assist in the management and support of the division's financial budgets and expenditures processes. Maintain and reconciles VPSA budgets for all accounts including oversight of P-Card activities for some departments.
• Prepare, compose, proofread, and edit memoranda, letters, responses, etc. on behalf of the VPSA & Dean of Students.
Divisional Operations Support:
• Coordinate logistics of Student Employment program
• Serves as the Point of Contact for Federal College Work- study allocations and questions.
• Serves as the chair and Coordinator for the Student Traffic Appeals committee.
• Provide additional programmatic support for departments within the division as assigned.
Administrative and Academic Support:
• Serve as policy liaison for monitoring policy development, routing, and compliance for the Division of Student Affairs.
• Serve as a liaison to administrative offices regarding purchases.
• Track the student affairs department's personnel activities including hiring, evaluations, job reassessments, and terminations for the Division of Student Affairs.
• Monitor student labor hours in accordance with the Fair Labor Standards Act.
• Oversees Assessments for the Division of Student Affairs and in collaboration with department heads prepares selective assessment plans in accordance with the SASCOC.
• Adhere to confidentiality, manage, and maintain organized confidential files, and records for record keeping purposes.
• Bachelor's degree or an equivalent combination of education and years of experience
• Minimum of 3-5 years of full-time verifiable professional experience.
• Extensive knowledge of Microsoft Excel, Access, and PowerPoint
• Excellent written and verbal communication and presentation skills
• Master's degree with 5-7 years of Student Affairs experience
• Professional level experience
