POSITION SUMMARY
Under direction of the President & CEO and working closely with various team members and consultants, the Associate Director of Grants (AD of Grants) secures public, corporate, private foundation grants, and occasional individual family foundations (if a grant application is required) by overseeing grant management systems–from research/prospecting, to cultivation, to application, to award, to recognition, to implementation management, to reporting. This position works collaboratively with LA Promise Fund’s HQ and school-based staff. The AD of Grants ensures the smooth transition of grant-funded programs to the program team for effective implementation and to ensure compliance with grant guidelines and objectives. The AD of Grants is responsible for grant reporting, stewardship of grantors, and maintaining an organized grant data system and calendar. This is a full-time, exempt position.
RESPONSIBILITIES AND DUTIES
The Associate Director of Grants will:
Research & Planning
- Collaborate with the President/CEO, board members, teammates, and consultants to integrate grant-based funding opportunities into an annual fundraising plan and strategic plan with monthly/quarterly goals, prospects, contacts, timelines and action items
- Maintain and renew existing grant application based funding
- Research private foundations, corporations with foundations, as well as state and federal competitive grants
- Develop and update a tracker/CRM (Salesforce) for grant applications, awards and reports that includes amounts, due dates, narratives, objectives, budgets, contacts, reporting requirements, etc.
Writing
- Work with CEO/President, other executive leadership, identified team members and consultants to articulate programs and budgets for grant support
- Serve as initial grant writer, with Directors/Chiefs and CEO/President as thought partners/editors; develop narrative and budget elements of proposals
- Coordinate with the leads of each program to develop narrative and budget updates as required for applications, reports, updates, etc.
- Submit grant applications and reports to foundations and agencies in a timely manner
Grant Management and Compliance
- Outline purposes, guidelines and budget spend-downs for restricted grants, particularly foundation and federal grants
- Meet regularly with program and school leadership to ensure adherence to grant objectives, rules and regulations
- Provide oversight and accountability for grant-funded programs through a grants tracker/CRM, program/agency/school dashboards/informatives, narratives, financial performance, annual reports, etc.
- Coordinate on an ongoing basis with the finance department to align revenues with the annual organizational budget, assess progress monthly/quarterly/annually, support with the organization’s annual audit and other financial reporting
- Collaborate with staff as needed to create new content for applications, determine progress of grant-funded programs, conduct assessments for reporting purposes
Grant Reporting and Stewardship
- Assist board members, CEO/President, executive team, program leads on stewarding activities with grant funders through e-mail and direct mail updates, phone calls, in-person visits and school tours, media releases and invitations to special events
- Work with the Communications team to acknowledge grantors in print, online materials and other public forums, as appropriate. Work with the communications team member to acknowledge supporters and outcomes
- If needed, interface with the program team, special events team, and or others to ensure any other funder obligations/engagement/cultivation is met.

CANDIDATE REQUIREMENTS
Education and Experience
- Bachelor’s degree or equivalent experience required. Master’s degree preferred
- Minimum 1 - 5 years experience in development, especially grant writing and revenue generating
Knowledge, Skills and Abilities
- Outstanding organizational skills and attention to detail
- Strong written, interpersonal and oral communication skills
- Experience managing private and public grants
- Articulate, professional demeanor with strong self-confidence and initiative
- Fluent computer skills including database, word processing, spreadsheets, presentation, and online communications; graphics experience a plus
- Ability to work in a demanding, fast-paced environment to meet all deadlines
- Ability to communicate and interact effectively with multiple constituencies
- Knowledge of public education and experience with K-12 schools is a plus
