Position Overview:
We are seeking a dynamic, organized, and experienced Childcare Center Director to lead and manage the day-to-day operations of our high-quality early childhood education center located in the greater Pittsburgh region. The ideal candidate will bring strong leadership, a deep understanding of child development and program compliance, and a high level of proficiency in Procare software, which will be central to daily operations.
In this role, you will oversee program implementation, staff management, compliance reporting, family engagement, and the financial and operational systems of the center. A solid background or familiarity with CACFP (Child and Adult Care Food Program) and Early Head Start is highly desirable.
Key Responsibilities:
Administrative & Operational Leadership
- Serve as the primary administrator of Procare software, ensuring accurate and efficient use of all modules, including:
- Child and family enrollment and records management
- Staff schedules, time tracking, and HR modules
- Tuition billing, payment processing, and financial reporting
- Licensing compliance and document management

- Maintain up-to-date records and reports required by state and federal agencies through Procare.
- Use Procare analytics to generate operational and financial reports for internal and external use.
- Coordinate with the finance team to ensure billing accuracy and oversee fee collection and subsidy processing.
Program Oversight & Compliance
- Ensure all licensing regulations, quality standards, and program requirements are met (including DPW/OCDEL regulations).
- Monitor and implement procedures in line with CACFP nutrition and meal tracking requirements.
- Collaborate with Early Head Start partners to support enrolled families, and manage required assessments, screenings, and documentation.
- Conduct routine audits of child and staff files to ensure up-to-date compliance documentation.
Staff Management & Development
- Hire, supervise, mentor, and evaluate teaching and administrative staff.
- Develop staff schedules and ensure proper classroom ratios using Procare’s scheduling tools.
- Plan and lead regular staff meetings, training, and professional development.
- Foster a supportive and collaborative workplace culture.
Family & Community Engagement
- Use Procare’s communication tools to engage with families regularly.
- Support family enrollment, onboarding, and retention.
- Address family concerns and needs with professionalism and compassion.
- Promote the center within the community and build partnerships with relevant organizations.
Strategic Development
- Participate in developing and implementing long-term goals and quality improvement plans.
- While prior experience with grant writing is not required, candidates with experience or interest in this area will have an advantage and may be asked to assist with funding proposals or documentation.
- Identify and implement opportunities to expand programs and services in alignment with community needs.
Qualifications:
- Bachelor’s degree in Early Childhood Education, Child Development, or a related field (Master’s preferred).
- At least 3 years of leadership experience in a licensed childcare or early education setting.
- Expert-level proficiency with Procare software — this is a critical requirement.
- Familiarity with CACFP food program requirements and Early Head Start standards.
- Demonstrated ability to manage a team and oversee daily center operations.
- Strong interpersonal, communication, and organizational skills.
- Knowledge of Pennsylvania child care licensing regulations and early learning standards.
Preferred Qualifications:
- Experience with grant writing or fundraising in the nonprofit or educational sector.
- Experience with Keystone STARS or other quality rating improvement systems (QRIS).
- Bilingual or multilingual skills are a plus.
