Position Summary:
The Clinic Operations Coordinator will be responsible for ensuring the smooth day-to-day operations of the clinic. This hands-on leadership role requires excellent organizational skills, attention to detail, and the ability to multitask while maintaining a patient-centered approach.
Key Responsibilities:
- Oversee the daily operations of the clinic, ensuring efficient workflow and high patient satisfaction
- Train, supervise, and coordinate clinic staff including front desk and medical assistants
- Develop and implement patient care plans in collaboration with the pediatrician
- Maintain accurate patient records using computerized systems (EPIC EMR) and ensure compliance with ICD-10 coding standards
- Coordinate and oversee scheduling of patient appointments to ensure optimal patient flow
- Manage all aspects of vaccine inventory, storage, and documentation in compliance with VFC guidelines
- Monitor clinic performance metrics and implement operational improvements
- Respond to and resolve patient concerns or complaints in a professional manner
- Ensure clinic cleanliness and readiness in compliance with health regulations and safety standards
- Coordinate communication between staff, providers, vendors, and families
- Oversee front desk operations including insurance verification, appointment scheduling, and customer service
- Support billing processes, including following up on unpaid claims and coordinating with billers
- Assist the clinic in meeting HEDIS standards and goals for a patient-centered medical home
- Maintain supply inventory and manage vendor relationships
- Assist in basic marketing initiatives (e.g., community outreach, flyers, patient engagement)
- Step into front/back-office roles when needed to maintain flow
- Coordinate employee schedules and help resolve internal workflow issues
- Must be willing to take a skills test and complete a work interview
Required Qualifications:
- Medical Assisting experience is required
- Previous experience in clinic operations, office management, or medical team leadership
- Strong organizational and leadership skills
- Familiarity with EPIC EMR or willingness to learn
- Knowledge of ICD-10 coding and insurance workflows
- Experience managing patient and vaccine records
- Comfortable supporting billing processes and verifying insurance
- Excellent verbal and written communication skills
- Reliable, punctual, and able to provide references from previous supervisors
Preferred Skills:
- Experience in a pediatric clinic strongly preferred
- Familiarity with vaccine management protocols (training will be provided)
- Ability to train and mentor other staff
- Strong attention to detail and ability to handle multiple priorities
- Professionalism and calm demeanor when dealing with families and challenging situations
- Proactive in identifying and solving operational issues
