Job Title: Closing Support Specialist

Position Overview:
The Closing Support Specialist plays a critical role in supporting the development lifecycle by managing transaction documentation, coordinating closings with key stakeholders, and ensuring all compliance and title-related matters are resolved prior to final handoff. This role requires strong communication, problem-solving skills, and attention to detail to keep our closings on track and on schedule.
Key Responsibilities:
- Support the Development team by opening and managing transactional files for new properties
- Review title work and coordinate resolution of outstanding issues prior to closing
- Identify and escalate any closing-related concerns to ensure clean title transfer
- Prepare and maintain all necessary documentation for closings, including internal checklists and third-party communications
- Draft settlement and transaction-related documents in coordination with external partners
- Review and reconcile Closing Disclosures and financial statements related to the transaction
- Schedule and coordinate closing appointments with buyers, lenders, and other stakeholders
- Ensure accurate recording of documents and facilitate post-closing follow-up
- Maintain database records and support tracking of closings across multiple projects
- Liaise with title agents, legal counsel, and development staff to keep all parties aligned
Qualifications:
- 1–2 years of experience in real estate, settlements, or transaction coordination
- Knowledge of title documentation and closing procedures
- Familiarity with real estate development timelines and documentation workflows preferred
- Experience with Qualia or similar real estate platforms is a plus
- Notary Public (PA and/or MD) and Title License are a bonus but not required
- Understanding of financial reconciliation and closing statements
- Excellent time management and organizational skills
- Strong verbal and written communication abilities
- High attention to detail and problem-solving mindset
- Ability to work independently while collaborating with a fast-paced team
