The Position
Serve as office manager for Colket Center administrative offices. Provides administrative support for Student Engagement /Colket Center staff and supervises Colket Center student employees. Coordinates reservations and rental reservations of campus facilities through the event management reservation process.
Key Responsibilities:
- Oversee Colket Center Student Employees
o Coordinate and supervise Colket Center Student Employees to include recruiting, assisting with selection, training, scheduling, and assigning responsibilities.
§ Oversees Building Operations and Event Scheduling Desk
o Coordinate and supervise Event Scheduling Desk including managing Event Management Software system, creating Student Engagement master calendars, and assisting other on-campus users of the system.
o Oversee student employees in room set ups and needs are met.
- Provide and facilitate administrative support for the Student Engagement Office:
a. Provides administrative support for the staff of Student Engagement/Colket Center including making appointments, coordinator incoming and outgoing correspondence, preparing budgeting reports as needed and making deposits.
b. Assist with building publications, i.e. brochures, newsletters, Colket Center web site, school announcements and WRKE.
c. Prepare correspondence, reports and statistics.
d. Prepare, process, and maintain billing and financial records.
e. Communicate between departments regarding needs for Student Engagement programs, including student employment, New Student Orientation, Campus Events, Greek Life, and any other needs.
f. Oversee incoming mail for Student Organizations.
g. Assist with New Student Orientation and Transition schedule and administrative tasks as needed.
h. Ticket sales preparation, ordering (if necessary) and distribution.
- Provide coordination & facility support for the Colket Center
o Oversee room setups and needs for Colket Center reservations
o Maintain office & building inventory & submit work orders for Colket Center building
o Approve reservations for the Colket Center
o Coordinate improvements to spaces within the Colket Center
o Help maintain, repair and replace computer equipment, AV systems, furniture, and facilities as necessary.
o Assist with facilitating weekly student managers meeting with staff
o Oversee marketing materials displayed in the Colket Center
o Organize and coordinate the lost and found for campus.
o Coordinate rentals in the Center with the Director of Conferences and Guest Services
- Manage the Event Management Software and reservation system for Roanoke College
o Acts as Administrator on the event management platform
o Facilitate needed changes to reservations
o Supervise the Event Scheduling Student Assistants, assisting with questions, approvals, and conflicts
o Coordinate needed spaces for large campus events, including Orientation, Alumni/Family Weekend, campus trainings, etc.
- Coordinate Spring Leadership Awards by arranging for plaques to be ordered and assisting with
a. Making award certificates
b. Compile an historical list of award recipients
c. Arrange for award winners to be photographed.
d. Assist with Spring awards banquet – help hand out certificates and plaques.
- Perform other tasks as directed.
Education, Experience, Skills, and Abilities:
- Bachelor degree preferred
- Excellent interpersonal skills and communication skills
- Proficient in Microsoft Office
