DESCRIPTION

The Coordinator, Donor Relations manages all gift and pledge processing for more than $5 million in annual commitments to support TJC through the Tyler Junior College Foundation, a more than $100 million support organization for the College, the largest of its type in the State of Texas. The position is also responsible for all data management of the CRM system for Institutional Advancement including creating, updating and maintaining of donor records within the database.


ESSENTIAL FUNCTIONS AND DUTIES

  • Record gifts and pledges received directly from individual donors, corporations and third-party vendors as well as gift officers and other areas of the College and Tyler Junior College Foundation.
  • Troubleshoot challenges, contact donors as needed, and adjust gifts and pledges in support of accuracy and stellar customer service.
  • Create and send pledge reminders twice yearly and as needed.
  • Facilitate cash deposits working hand-in-hand with Foundation Accountant, Cashier’s Office and other Business Services personnel to uphold financial standards.
  • Administer monthly processes for payroll deduction and ACH (Automated Clearing House) payments and produce reports for the Business Office for reconciliation.
  • Develop weekly and monthly detailed and high-level gift reporting to be distributed to select Institutional Advancement personnel.
  • Oversee pledge payments by monitoring and invoicing on a regular schedule, creating methods to track active pledges and notifying donors and Institutional Advancement leadership when major pledges are pending and eventually satisfied.
  • Provide ongoing assistance to Foundation Accountant as assigned by Director, Advancement Operations and COO, Tyler Junior College Foundation.
  • Review all journal entries, check requests and cash receipts for the Foundation to ensure accuracy and completeness.

  • Prepare accounts payable documentation for processing payments from the Foundation to select vendors.

  • Assist with monthly internal audit and review of Foundation financials, transactions and supporting documentation to ensure accuracy and completeness.
  • Support reconciliations associated with various fundraising initiatives for the College through the Foundation.
  • Ensure data is entered and maintained accurately with the Institutional Advancement CRM system as the sole resource for entering and revising data related to constituent accounts and pledge and gift entry.
  • Establish new donor records and maintain existing records for individuals, corporations, business contacts, etc. by conducting web-based research, reviewing prior donor records and updating donor contact information in the Institutional Advancement or CRM database (Raiser’s Edge NXT).
  • Create ad hoc reports based on current and previous giving as requested by Manager, Donor Relations and Special Events or Director, Advancement Operations and COO, Tyler Junior College Foundation.
  • Research current and prospective donors for giving capacity and provide reports to select Advancement personnel.
  • Update and edit content for appropriate donor related publications and the TJC website.
  • Research and apply industry best practices in donor relations.
  • Actively share ideas and modify processes to improve gift and data processing functions, to include streamlining tasks and developing efficiencies in gift processing and data maintenance, resulting in improved quality and productivity.
  • Assists in event RSVP tracking and guest communications as requested.
  • Assists in event setup and breakdown as requested.

COMPETENCIES

  • Strong computer skills with knowledge of data entry techniques.
  • Understanding of computer databases and data interactions with previous experience.
  • Exceptional interpersonal skills with ability to interpret information from a variety of sources and to enter it consistently into the Institutional Advancement CRM according to established standards.
  • Ability to research and work with online resource such as online directories, electronic media, and published reference sources.
  • Detail oriented and focus on quality and accuracy.
  • Strong communication skills and ability to communicate well in both written and verbal format.
  • Must be able to work independently and as part of a team.
  • Must be able to maintain confidentiality concerning donor data and information.

QUALIFICATIONS

Required Education/Experience

  • Bachelor’s degree required, or equivalent work experience.

Preferred Education/Experience

  • Three to five years of experience in related position preferred.
