Position Overview:
We’re looking for a hybrid-minded Customer Success & Creative Operations Coordinator to become a central part of our growing team. This unique role blends operational and customer support duties with creative contributions, including helping with social media messaging, writing ad copy, and creating posts and visuals in Canva.
You’ll be the go-to person for keeping clients informed, happy, and engaged — while also lending your creative voice to our public presence.
Key Responsibilities:
Customer Relations & Support
- Serve as the first point of contact for clients after the sale — answering questions, offering updates, and solving problems with grace and clarity.
- Proactively reach out to customers with shipping updates, onboarding info, and check-ins.
- De-escalate and resolve any customer issues quickly and professionally — often via phone calls, emails, or texts.
Order Fulfillment & Operations
- Manage invoice processing, payment confirmations, and CRM documentation.
- Coordinate with internal teams (logistics, sales, and support) to ensure smooth delivery and client onboarding.
- Maintain meticulous notes and follow-ups for all client interactions and project statuses.
Creative & Social Media Support
- Draft customer-facing messaging for email, text, and social media posts that align with our brand voice.
- Assist in creating visuals and promotional content in Canva for Instagram, Facebook, and email campaigns.
- Help write ad copy and posts for promotions, sales events, or new product launches.
- Suggest and test content ideas that connect with our customer base (medspa owners, estheticians, and clinic operators).
Qualifications:
- 2+ years experience in customer success, client services, operations, or a hybrid support/admin role.
- Strong written and verbal communication skills — professional, warm, and clear.
- Creative instincts with the ability to write short-form content (emails, ads, social posts) and basic graphic design in Canva.
- Organized and detail-oriented with strong follow-through.
- Comfortable on the phone, even in emotionally charged conversations.
- Familiarity with CRM systems (e.g., GoHighLevel, HubSpot, etc.) and invoicing tools.
- A self-starter who thrives in fast-moving environments and wears multiple hats with ease.
Bonus Points If You Have:
- Experience in the medspa, wellness, or aesthetics industry.
- Social media or marketing experience (Instagram, Facebook Ads, etc.).
- Comfort using Stripe, QuickBooks, or CareCredit portals.
- Light experience with tools like Meta Business Manager, Mailchimp, or SMS platforms.
